GENERAL DUTIES

- To manage the overall credit and receivable collection functions of the hotel in the most efficient manner in order to minimize the non-payment of accounts and potential bad debts.

DUTIES AND RESPONSIBILITIES

- To be responsible for the efficient and effective operation of the Finance department.

- To ensure that strong and open communication lines are maintained with the Director of Finance.

- To ensure that the hotel credit policy and procedure is adhered to in all departments

ADMINISTRATIVE RESPONSIBILITIES

- To discharge the duties in an effective and efficient manner.

TECHNICAL RESPONSIBILITIES

- Credit applications:

· Process credit applications within 5 -10 working days, ensuring that clients are notified promptly and professionally.

· The credit worthiness of all applicants is formally checked and approval must be received from the Director of Finance.

· Review the credit worthiness of all existing non-Accor approved clients on a yearly basis.

- City Ledger

· Ensure all invoices / statements are issued on a timely basis.

· Monitor the prompt follow-up of all overdue accounts and minimize the recovery delay.

· Implement effective inquiry response procedure for guests and management.

· Ensure all travel agent commissions are timely processed and paid.

· Report on monthly accounts receivable ageing analysis and detailed accounts’ ledgers.

· Conduct credit meetings at least once a month.

· Attend Credit Managers meetings to keep up to date knowledge of credit risks.

· Appropriately manage all delinquent accounts, liaising with debt collectors where needed.

· Review and recommend accounts to be written off, providing appropriate documentation.

- Guest Ledger and liaison with Front Office

· Liaise between the Accounting Department and the Front Office.

· Ensure PB, PX and PM accounts are checked on daily basis and transferred to city ledger within 48hrs from the departure date.

· Inform the Front Office Manager of any deviations from policy by Assistant

· Managers, or Front Office Cashiers that may come to his / her attention

· Ensure guest refunds are processed in a timely manner as per the hotel policy; with all supporting paperwork and required authorizations.

COMMERCIAL RESPONSIBILITIES

- To keep closed contact with hotel debtors i.e. Travel Agents, Airlines, Corporate clients and individuals.

Requirements:

• A Diploma and above in business and related fields, Degree is preferred.
• A strong relationship builder with 2-3 years of relevant role in business development. Working experience within the hospital/healthcare industry would be an added advantage.
• Experienced in new business development with a bold mindset in overcoming obstacles and rejection and experience in market research and analysis planning are required.
• Highly independent with a strong work ethic and entrepreneurial spirit to fulfill/meet company objectives and revenue targets.
• Excellent communication and interpersonal skills to effectively interface with all levels and teams on a formal, informal, written, and verbal basis.
• Bilingual in order to liaise with well-established corporate companies.
• Proficient in MS Office 365.

Job Description

Support the Head of Department in corporate governance, policy, personal data protection, and Internal/risk controls to ensure compliance with all relevant legislation and regulatory requirements. The incumbent is expected to work with various divisions to ensure governance policies, frameworks, and processes are in place in accordance with the framework and propose improvements as necessary.

Responsibilities:

Governance, Compliance and Policy Management

• Assist in ensuring compliance with the Enhance Code of Governance and adherence to statutory and regulatory requirements.
• Assist in developing and evaluating the organisation’s internal controls, compliance and operations.
• Assist in Policy, ESG and SOP Management, including developing/updating related frameworks and procedures.
• Assist in governance and implement initiatives to strengthen compliance and controls for the organisation
• Review and update policies and internal control processes where required

Data Compliance

• Assist in Data Protection processes and training, which includes
• Governance and privacy impact assessments
• Facilitation of Data Protection Programme customised for each Division/Unit
• Incident management, escalation procedures and internal checks

Board Governance and Membership Management

• Maintain and manage the Board and Committee Management, including renewals, onboarding meetings for new members, and maintaining due diligence documentation on new and existing board members.
• Assist in association membership matters where required.

Administration

• Assists in timely preparation for filing corporate governance documents to the relevant regulatory authorities, including, but not limited to, Board policies, General Meeting minutes, annual returns, budgets, work plans, and amendments where required.
• Ensure knowledge Management and records retention
• Work with the appointed auditors for internal audits where required
• Participate in SINDA-wide events when required.
• Perform any other duties as directed and assigned by the Reporting Officer.

Requirements:

• Degree in accounting, business management, or other related disciplines.
• Candidates possessing CIA, ACCA, or other certifications recognised by IIA or ISCA are preferred.
• Minimum three to four years of work experience in internal controls environment, finance and/or governance functions is required.
• Minimum two years of experience in a supervisory role is required for the Assistant Manager position
• Prior experience in corporate secretarial, governance or related roles, preferably within the non-profit/charity sector, is advantageous.
• Good decision-making and analytical skills
• Strong communication and interpersonal skills and ability to manage stakeholders across various levels
• Meticulous, good organisational and time-management skills

This is a contract position, convertible to a permanent role subject to the performance and divisional requirements.
