Our Company is an Employment Agency who require an HR/ administrative executive to handle our business partners Admin/HR matter.

Our business partners are mostly from the F&B industry. The role require charge of all the HR matters/ any admin/ at our partners’ staff.

Near Tanjong Pagar MRT.

Job Description

• Preparation of PayRoll and monthly staff list including local and foreign worker
• Support the sales department to get ready documents required by them
• Assist in preparation of various documents i.e. Employment contract/ various HR documents
• Will require to write simple Chinese documents as some of the F&B workers will only understand Chinese
• Report weekly on HR and Admin matters
• Assist the manager to file and prepare all documents of staff
• Preparation of Documents required by various stat board
• Ensure that company office stationary and other IT stuff are in order to ensure smooth running of office

Working Hours

• Monday to Friday: 900 pm to 600 pm

Requirements

• Independent worker and taking ownership of your job is a must
• Able to solve problem and handle task given independently
• Able to handle fast pace working environment and ability to adapt is required
• Can work well with minimum supervision
• Experience in handling Staff payroll, cpf matters and various
• Relevant Certificate on HR management is an advantage
• Ability to communicate with Mandarin staff and read written Chinese documents is advantages (a lot of the documents of our partners are in Chinese)
• Any related diploma/ Certification in HR/ Admin. Candidate who demonstrate positive working attitude and ability to get things settled will be considered

Summary:

The role function provides administrative support to the HR Department. The incumbent will help to coordinate the day-to-day operations. Provide full support of HR functions including office administration work and any other HR activities.

Job scope:

• Administer staff attendance, leave benefits and staff welfare such as handling of employees
• Assists in employee queries regarding HR claims, benefits, and procedures.
• Act as the primary point of contact for staff welfare needs, including hospitalization, childbirth, and condolences.
• Coordinate the medical examination process, including the preparation and distribution of health forms.
• Create and manage employee profiles within the appointed panels/ system.
• Ensure accurate and up-to-date information for employees claims processing.
• Coordinate and facilitate travel arrangements for staff, ensuring compliance with company policies.
• Source quotations from vendors, secure necessary approvals, and oversee the procurement of welfare hampers.
• Assist in Hotel and Travel bookings including proforma invoice verification & payment arrangement
• Plan and coordinate recreation and events activities such as team-building, D&D, townhall and projects as assigned
• Company's vehicle road tax and insurance renewal
• To manage outsource vendors on office cleaning services including ensuring cleaning services provider provide the service in accordance to Office expectation
• To conduct sourcing, evaluate & Request for Quotation for HR and Admin related requisition from suppliers
• To be responsible for rental, purchase and maintenance of office equipment

Job Requirements:-

• Diploma/ Degree in Business Administration/ Human Resource Management
• Minimum 4-5 years of relevant working experience, preferably with manufacturing environment
• Familiar with Singapore employment law
• Good interpersonal and communications skills
• Able to work independently and take initiatives
• Must be reliable, meticulous and a good team player
• Able to start within short notice is an advantage

Job Responsibilities:

• Forming and maintaining employee records
• Preparing and amending where necessary HR documents, i.e. employment contracts and recruitment guides
• Reviewing and renewing company policies and legal compliance
• Being the first point of contact for employees on any HR related queries
• Assisting with payroll by providing the department with relevant employee information, i.e. holiday and sick days taken.
• Handle recruitment process such as posting advertisement, phone screening for shortlisting, arranging interview, employment contracts and etc aligned with local regulations, Company policies and procedures.
• Manage the work pass applications (WP/SPass/EP) and status including monitor of the expiry dates.
• Prepare confirmation letters, and monitor contract expiry for renewals.
• Oversee all administrative tasks in the office compliance with established policies and procedures and Singapore’s legal, fiscal and statutory requirements.
• Acquire and maintain office furnishing, equipment and supplies, and provides administrative support for the maintenance of the telephone, communication and computing system.

Job Requirements

• Degree or Diploma in Human Resources.
• 2-4 years working experience in a similar capacity.
• Experience in Recruitment is a must
• Added advantage if available immediate or within short-notice.

The HR Executive Role

• Serve as a recruitment specialist to provide end to end support for company’s recruitment needs, including sourcing for candidates, managing candidates, overseeing selection, and managing onboarding
• Oversee employee engagement efforts through creating opportunities and programs that promote employee involvement, collaborating with other departments and vendors, as necessary
• Prepare and maintain employment records and contractual obligations for manpower related events such as hiring, termination, leaves, transfers, or promotions
• Confer with management to develop or implement personnel policies or procedures.
• Provide internal stakeholders with necessary HR support and undertake any ad-hoc duties as assigned

Skill Requirements

• Minimum Education: Diploma or equivalent
• Proficient in MS Office
• Possess good interpersonal and communication skills
• Able to think critically and make astute decisions
