• Active participation in both external and internal project work-in-progress meetings, contributing valuable insights and expertise to shape event success
• Translate the creative visions of our designers into tangible designs and décor, balancing artistic innovation with budgetary constraints, venue limitations, and production timelines
• Create and meticulously maintain all production-related documents, including design notes, site visit records, floor plans, production schedules, call lists, inventory requests, transportation and staffing plans and schedules, and any other essential materials utilized in the production process
• Preparing and submitting all essential permits and documents required to meet venue and event compliance standards, ensuring a smooth and hassle-free event execution
• Manage on-site setup, build, and breakdown of events, overseeing venue logistics, on-site vendors, and production work
• Cultivate strong and collaborative relationships with clients, venues, and suppliers, ensuring that client expectations are not only met, but consistently exceeded
• Provide effective and efficient support to team members, contributing to a cohesive and high-performing event management unit

You will need:

• A diploma or bachelor’s degree in a relevant field (Events Management/Production) from an accredited college or university
• At least 2 years of relevant experience in the events industry. Prior experience in the agency field is a plus
• Proficiency in AutoCAD, 3DS Max, and Adobe Creative Suite is an added advantage
• Strong planning, organizational, and time management skills, with the ability to manage multiple projects simultaneously, prioritize tasks and meet deadlines. Attention to detail is critical
• Proven ability to consistently deliver high-quality results within stipulated timelines, ensuring clients expectations are not only met, but exceeded
• Proactive and strategic approach to problem-solving, with the ability to make sound decisions under pressure
• Understanding of clients’ requirements with ability to execute effectively and efficiently
• In-depth understanding of the events industry, current trends, and emerging technologies
• Self-motivated and resourceful, with high levels of initiative

Job Duties

• Identify and develop new business opportunities.
• Cold calling to arrange meetings with potential customers and prospect.
• Maintaining and developing relationships with existing customers and prospects to ensure satisfaction and repeat business.
• Prepare and deliver compelling product demonstrations and presentations to customers.
• Prepare and provide sales quotations to customers.
• Negotiating contracts, the terms of an agreement and close sales.
• Establish sales objectives through effective forecasting.
• Providing support, information, and guidance to customers.
• Set sales forecast, reviewing own sales performance, aiming to meet or exceed targets.
• Interfacing with vendors / suppliers and building up relationships.

Purpose of the role: Point of contact between customers and the company.

Ensure reconciliation statements and invoices are sent to customers and be able to handle and resolve disputes

• To fully understand the structure of each deal & items stating in the checklist prior preparing the reconciliation template.
• Close follow up with Line Manager for the updated checklist whenever there are changes to the deal.
• Setup contract details in system together with billing instructions to facilitate correct invoicing to customers.
• Update customers on the monthly slot charges with bunker update & ensure correct fixed slot invoices issued promptly to customers.
• Extraction of customers loading information – to scrutinize the report & probe agents for clarification on any data discrepancies, also follow up to ensure system gets updated with correct records.
• Submit reconciliation statement to customers on their slot usage against their slot commitment, it has to be drawn up accurately & within stipulated period.
• Follow up with customer for the statement confirmation & ensure accurate & timely issuance of invoices.
• Handle queries raised by customers & resolve the disputes independently.
