Responsibilities

• Adhere to established packing standards and safety guidelines for product preparation and shipping.
• Ensure accuracy in product quantities, quality, and labeling before packing, using appropriate materials and methods for secure transportation.
• Perform quality checks on packed items, reporting any discrepancies, damage, or defects to the Warehouse Manager.
• Maintain precise inventory records, conduct periodic stock counts, and assist in replenishing stock as needed.
• Adhere to safety protocols for a secure work environment and maintain cleanliness in the packing area.
• Collaborate with team members to ensure efficient order fulfillment and report any issues or concerns to the Warehouse Manager.
• Safely operate packing equipment, such as tape dispensers, shrink-wrap machines, and pallet jacks.
• Abide by all company policies, procedures, and industry regulations related to packing, shipping, and warehouse operations.

Requirements:

• Min Diploma in a relevant field such as industrial engineering, manufacturing, or operations management
• Previous experience in packing, shipping, or warehouse operations is preferred.
• Good knowledge and use of Microsoft Office, especially Excel Spreadsheet

Key Objectives:

The incumbent is responsible for managing the schedules and communications of key personnel in the Company. They prioritize emails, calls and arrange meetings and business events.

Main Activities:

Responsibilities

• Manage phone calls and correspondence (email, letters, packages, etc.)
• Maintaining directory list (contact details)
• Assist in Company engagement activities, lunch, events and coordination
• Manage agendas/travel arrangements/travel insurance/appointments for the Management
• Inform various department of notice and/or meeting schedule via calendar invites
• Manage correspondences and reply on behalf for the Management
• Plan, coordinate and ensure all meetings schedule notifications are up to date and follow up documents
• Attending Management meetings and minutes to follow up
• Assist Business Development on prior to Tenancy Agreement correspondence
• Manage leasing, contracts, renovation and coordination with Management and Operation team
• Follow up on all tenancy agreements (current, renewal, new)
• Liaise with outlets management (Landlord) on outstanding documents inclusive of repair maintenance

Qualifications / Experience

(Academic qualifications as well as experience)

• Diploma or relevant certifications in administration / secretarial studies
• Min. 2 years of relevant experience
• Good coordination skills
• Excellent organization and communication skills
• Ability to work independently
• Experience with Zoom, Outlook, Leasing Coordination, Minutes Taking and Calendar Management
