Key Responsibilities
1. Provide administrative support to professional staff and managers/supervisors/reporting officer:
- a. Resolve telephone/in-person inquiries.
- b. Assist in scheduling and maintaining calendars.
- c. Retrieve and return of medical records and patient case notes as directed by clinical professional staff.
- d. Receive new joiners and visitors. Manage and facilitate new joiners and visitor passes/access.
- e. Assist in correspondences as required.
- f. Establish and maintain an efficient and effective filing system.
- g. Prepare Management report as required.
- h. Notification for infectious diseases and others.
- i. Assist with receiving, issuing, and processing supplies, including Proficiency Test samples.
- j. Assist in liaising with courier services on import permits to facilitate customs clearance.
- k. Assist in projects, e.g. Business Continuity Exercises, Mass Casualty Exercises, Staff Health Screening, staff appreciation events, staff welfare activities, conferences, etc.
- l. Assist in contract/agreement documentation and renewal. Upload into Contract Management System.
2. Procurement related work:
a. Prepare purchase requisition for supplies. Other than raising purchase requisitions in The system Applications and Products (SAP) system, process may include clarification of specifications, product research, evaluation of vendor performance, and obtaining
competitive quotations
b. Monitor the release of purchase requisitions by various levels of authority and take appropriate actions in the event of delays that may result in stock out.
c. Establish and maintain database of all procurement contracts.
d. Receive goods purchased into departmental materials management (MM) room following checks on quality, expiry date and details on delivery notes.
e. Identify and rectify delivery and invoice discrepancies.
f. Establish and maintain an efficient store system such that inventory items can readily be retrieved by users.
3. IT-related work/reports:
a. Billing recovery and verification
b. Assist to raise billing requests
c. Analyse and prepare laboratory related reports and work-charts as well as management
reports.
d. Maintain master and accession logs.
e. Support and maintained assigned systems.
Key Requirements
• Minimum 5 year’s administrative/secretarial experience, preferably in a health care setting
• Good computer skills (Microsoft Office, able to use simple database, e.g. Access)
• Excellent communication and interpersonal skills with high degree of diplomacy
• Meticulous and strong organisation skills
• Service oriented and customer focused
