The HRPC is a first-of-its-kind research centre, established at the NUS, to spearhead and conduct research and development to better enable the future challenges arising from rising ambient heat. The Research Assistant who will play a key role in assisting in the development, execution and analysis of research aimed at addressing the challenges of training and operating in rising ambient temperatures. Qualifications

Job Description

The incumbent will provide and support the administrative, finance, procurement and logistical needs of the Strategic Relations and Corporate Communications departments within the NUS Business School and other stakeholders.

Administrative matters

• Support board meetings, meetings with external parties and delegation visits, including secure meeting venue, print name tents, prepare corporate gifts, coordinate refreshments
• Coordinate, support and submit staff claims/travel requests in the NUS system
• Assist and submit MOUs and agreements in the NUS system
• Support and coordinate internal meetings, secure meeting venues and send calendar invites
• Support and handle effective department minute-taking and proper filing of minutes
• Keep track and handle the proper filing of documents, agreements etc.
• Maintain and support CRM databases, such as Salesforce

Finance and Procurement matters

• Monitor department budget utilization
• Submit finance claims, and process payments to parties, such as vendors, and suppliers in the NUS system
• Support and handle procurement of corporate gifts and keep track of corporate gift stock
• Procurement of logistics items for events, where necessary

Events Logistics

• Coordinate and book event venues
• Support and coordinate catering for events, event setup, movers
• Support event registration

General Office Support

• Handle general enquiries for incoming phone calls, walk-in queries and department general email mailbox
• Coordinate and support mail despatch, filing, collect mails etc.
• Assist and coordinate with courier service for delivery of documents, mail etc.
• Purchase office and pantry supplies, stationeries etc.

Others

• Provide support in department-wide events
• Any other duties as assigned

Qualifications

• Diploma holder in any discipline with at least 5 years of relevant administrative experience/Degree holder
• Prior experience in procurement and knowledge of SAP and Ariba System would be advantageous
• Meticulous, well-organized and able to multi-task
• Possess good interpersonal skills and able to work well in teams and take part in cross-team projects
• Well-versed in Microsoft Office applications (Outlook, Word, Excel, PowerPoint), Adobe Acrobat (PDF)

KEY RESPONSIBILITIES:

Order management

· Co-ordinate with Merchandise Planners and Franchise partners on order submission via Relex and Order Portal systems

· Manage Purchase Order creation and update revisions in Netsuite system

· Ensure purchase orders are successfully transmitted, received and confirmed by vendors

· Maintain accurate ship dates, quantities, costs and descriptions in purchase orders

· Monitor purchase order status, track production, shipping and receiving status in GTN and POC Systems

· Monitor and keep track of sku pass emails to ensure purchase orders are issued in a timely manner

· Communicate regularly with Franchise partners on purchase order status

Communication

· Follow up on SKU setup process with Merchandising and Merchandise Operations teams, highlight and resolve sku availability issues, to support on time purchase order creation

· Communicate relevant ordering information, changes and cancellations to purchase orders to Global partners, Sourcing team and vendors

· Liaise and work with cross-functional partners to track down & resolve shipments and transportation issues.

· Ensure accurate ship dates, quantities, costs and descriptions in purchase order revisions and communicate the changes to Global partners, Sourcing team and vendors

· Assist in resolving all queries pertaining to orders through communications with WSI cross-functional partners, including Customs, Transportation, Freight Forwarder, Sourcing and QA

Reporting and analysis

· Generate reports as needed.

· Perform analysis of shipment timing to support monthly revenue forecast.

Other responsibilities

· Attend cross-functional calls with Global merchants and Franchise partners.

· Complete other duties and responsibilities as assigned by supervisor

QUALIFICATIONS:

· Candidate must possess a tertiary qualification with 1- 2 years of retail experience in a Merchandising and/or Purchasing role

Position Overview:

To ensure nominated vessels are maintained & operated in line with Statutory Instruments, Company Policy & Safety Management System, Industry Best Practice & Vessel Owners Requirements.

Key Responsibilities & Accountabilities:

1. Act as the single point of accountability, monitoring all onboard activities and providing Technical & Operational Guidance and Support to the Master & crew of nominated vessels as required.
2. Ensure Safety & Environmental Compliance with respect to Statutory Regulations, Company Policy & Safety Management System, Industry Best Practice, and owner’s requirements are given the highest priority by both the shore and vessels staff.
3. Monitor and support all operations onboard nominated vessels closely, provide assurance that they are undertaken in full Compliance with Statutory Regulations, Company Policy & Safety Management System, Industry Best Practice, and owner’s requirements, whilst meeting efficiency & economic expectations.
4. Ensure compliance with Wallem’s SMS, flag and class’s rules and regulations, state requirements, TMSA and other vetting agencies’ conformance.
5. Support Operations superintendent and work together for common objective to operate vessels as required under the SMS and within the purview of Shipman Agreement.
6. Responsible for all budgetary expenditure on nominated vessels, provide timely reports & analysis to Fleet Manager(s) and Owner(s) as required.
7. Responsible for operating vessels within KPIs set out by Wallem’s SMS while maintaining priority on safety and pollution prevention. Technical Superintendent works with other departments of Wallem for meeting commercial expectations and maintaining vessels sea-worthy.
8. Act as Client/Owners point of contact ensuring the highest level of customer Service & Satisfaction are maintained whilst also protecting the Wallem brand and our employees from risk.
9. Provide Direction, Coaching, Guidance, Mentoring and Evaluation of senior sea staff to ensure that all operations are carried out safely & successfully whilst also enabling senior sea staff with their individual career progression & development.
10. Monitor and maintain a thorough knowledge of current Technical Superintendents Work Instructions which maybe subject to review and revision from time to time, whilst completing all Tasks detailed in the Technical Superintendents Work Instructions for nominated vessels.
11. Monitor and optimize vessels and seafarers’ performance. Collaborates with other stakeholders to ensure that vessels and seafarers have adequate resources to perform.
12. Review, write and provide feedback on development area of seafarers, work-performance during specific contract, while setting clear goals and targets.
13. Act as part of the Shore base Emergency Response team as required.
14. Complete any additional tasks as reasonably requested by the Fleet Manager.

Requirements:

• Engineer Officer Qualification, with First Class Chief Engineers Motor license from an IMO whitelist country; OR
• Degree in Marine Engineering/Naval Architecture/Mechanical Engineering or other related.
• Minimum of 2 years’ sailing experience as Chief Engineer onboard; OR
• Minimum of 1 year's experience as Technical Superintendent within the Maritime Industry ashore.
• Able to handle mixed vessels types (e.g dry cargo, containers, gas carriers, RF containers)
• Able to communicate in both English and Mandarin is preferred to communicate with the crewonboard and clients.
