JOB PURPOSE

Reporting to the Chief Executive Officer (CEO) and working directly with the Governing Board, the Executive Assistant (EA) is actively responsible for supporting the daily administrative & operational needs of the CEO’s office and managing the CEO’s office. The EA will also function as the Secretariat to the Board and may, where necessary, communicate directly to the Governing Board in matters concerning scheduling of Board meetings and discussions. RESPONSIBILITIES

6. Facilitate quarterly submission of GST and annual submission of accounts to IRAS and ACRA Bizfile, adhering to regulatory requirements and deadlines.

7. Maintain systematic filing of accounting materials to ensure efficient retrieval and organization of financial records.

8. Perform daily reconciliation of cash register transactions to uphold transparency and accuracy in financial reporting.

9. Collaborate closely with the manager to address additional accounting and finance-related tasks as they arise, demonstrating flexibility and initiative in supporting team objectives.

**Requirements:**

- Proven experience in accounting or related field.

- Proficiency in Xero and QuickBooks is essential; familiarity with Stripe, Trello, and Shopify is advantageous.

- Strong attention to detail and accuracy in financial record-keeping.

- Excellent organizational and time management skills.

- Ability to communicate effectively and collaborate within a team environment.

- Knowledge of relevant accounting standards and regulatory requirements.

Job Description

We are looking for an Administrative Assistant to provide administrative support and ensure quick and efficient operation of our office. The successful candidate will be responsible for a variety of tasks including daily data entry works, scheduling appointments, managing calendars, handling correspondence, maintaining filing systems, and assisting with other administrative duties as needed.

Responsibilities:

• General and daily data entry works assigned by Admin cum Accounting Manager and/or Director
• Assist to organise and schedule meetings with all relevant personnel
• Prepare all relevant paperwork/documents required and attend meetings with Director and Admin cum Accounting Manager
• Plan meetings and take detailed meeting minutes for all meetings
• Prepare and distribute corresponding memos to relevant team members
• Attend to all incoming calls /messages from subcontractors promptly
• Attend to and follow through all inquiries via email and/or any messaging platforms applicable
• Update and maintain office policies and procedures
• Ensure smooth day-to-day operation of the office
• Provide day to day administrative / backend support to all personnel (eg. Director, Interior Designers, Managers, etc.)
• Show initiative in providing ideas and solutions to improve workplace processes
• Assist in any ad-hoc task that may be assigned

Requirements:

• Conversational English and Chinese speaking and written skills
• Proven experience as an administrative assistant or relevant role
• Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and Google Drive (Google Sheets, Google Docs, Google Slides, etc.)
• Excellent time management and organizational skills
• Strong written and verbal communication skills
• Attention to detail and problem-solving skills
• Ability to multi-task and prioritize tasks effectively
• High school diploma or equivalent; additional qualification as an Administrative Assistant or Secretary will be a plus
