We are looking for a stellar Junior Personal Assistant to support our chef owner and head of group operations. You will provide administrative support to the leadership by effectively and efficiently handling and managing administrative matters of and for the leadership, allowing them to focus on their main responsibility of driving the business. You are someone who strives in a fast-paced and collaborative environment with an exceptional team spirit.

What you’ll do

• Reports directly to and communicates with the Head of Group on all administrative matters.
• Plan, schedule and meetings, including travel arrangement (flight, accommodation, Visa etc.), reservations and set up for owner/leadership team.
• Support schedule, coordinate appointments for the owner/leadership team and assist in all meeting preparation which includes setting up conference calls across different time-zones.
• Preparation of expense reports, forms and communications for office financial reports and invoicing.
• Works closely and effectively with the key senior leadership and support on ad-hoc tasks.
• Any other ad-hoc tasks assigned from time to time.

Job Responsibilities

• Responsible for full Accounts Payable function
• Matching of suppliers’ invoices with purchase orders and delivery orders
• Prepare payment vouchers and issue cheques/remittances
• Reconciliation of PO listing and PO clearing account
• Support procurement and contract managements reports
• Monitoring/updating cashbook and cashflow reporting
• Perform Bank reconciliations
• Processing of staff claims and petty cash payments
• Data entry into accounting system and ensure all documents are properly filed
• Maintain inventory listing and coordinate with store for stocktakes
• Monthly and yearly finalization of accounts for audit/tax purpose
• Liaise with auditor and prepare audit schedules
• Perform periodic reconciliation of suppliers’ statements and AP ledger.
• GST/MES reporting and ensure all transaction comply with IRAS’s regulations
• Assist in HR Admin function
• Any other ad hoc duties as assigned

Job Responsibilities

• Prepare Purchase Orders and send copies to suppliers including urgent purchases
• To ensure proper purchasing procedures are carried out in accordance to company ISO procedure including implementing controls to reduce risk of unnecessary purchases
• Contact suppliers to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems
• Review requisition orders to verify accuracy, terminology, and specifications
• Prepare, maintain and review purchasing files, reports and price lists
• Compare prices, specifications, and delivery dates to determine the best bid among potential suppliers
• To consolidate all purchases to obtain quantity discount
• Track the status of requisitions, contracts and orders
• Ensure acknowledgement of all issued purchase orders from suppliers
• Ensure daily purchase orders are updated into in-house system
• Calculate cost of orders, prepayment or deposits and forward invoices to appropriate accounts
