The IT Project Admin will provide high-level, confidential administrative support to the Client. This role involves clerical, administrative, and project-based duties, including scheduling meetings, handling information requests, preparing reports and correspondence, and liaising with clients.

Job Scope:

• Consolidate and accurately report on various financial tasks.
• Process service requests, invoicing, goods receipts (GR), and claims.
• Assist the financial management team with financial reporting and budget planning.
• Compile financial data for monthly revenue reporting to ensure accuracy and timeliness.
• Maintain monthly Operations & Support (O&S) progress reports.
• Take and write minutes for meetings.
• Follow up on action items.
• Process personal clearance and ensure it is up to date.
• Handle ad hoc requests, such as submitting job tickets.
• Coordinate with contractors and the Maintenance Agency for preventive maintenance.
• Track purchase order due dates, ensure timely payments, and perform goods receipts.
• Arrange monthly O&S meetings and track follow-up actions with contractors.
• Communicate issues and improvements to relevant business partners, seeking opportunities and alignments that will benefit other communities.

Technical & Soft Skills:

• Proficiency in Microsoft Office, Excel, and desktop productivity tools.
• Strong customer service skills.
• Resourceful, independent, responsive, and proactive.
• Excellent written and verbal communication skills, with the ability to effectively communicate at all levels.
• Ability to build and maintain positive working relationships across projects, control teams, and customers.
• Experience working under minimal supervision with a strong commitment to team participation.

Responsibilities:

• Contribute to clinic sales through the promotion of clinic treatments to clients.
• Assist in aesthetics procedures.
• Handle all pre/post procedures care, registration, and counselling.
• Prepare all the necessary equipment, tools, and consumables required in medical aesthetic procedures.
• Serve clientele in all aspects of treatments.
• Maintain order of patient cards and manage patient entries in POS.
• Recommend appropriate aesthetic treatments to patients.
• Assist in cashiering, inventory, ordering, & database management.
• Assist in maintaining quality servicestandards.
• Ad hoc duties assigned by supervisor(s).
