- Work with ESSEC Finance Department colleagues to set up payment and credit note processes, meeting SSG audit and ESSEC requirements

B) Day-to-day responsibilities (From April 2024 onwards):

- Working with Executive Education broader team to confirm program activation and dates

- Participant enrolment/registration including but not restricted to collection of necessary participant’s documentation, payment billing oversight (Finance department), tracking of participation progress/assessment outcomes, and submiting all relevant outcomes to SSG Training Portal for claims approval

- Correct, accurate and timely filing and storage of all documentation in the Training Management System to meet SSG and ESSEC requirements

- Dealing with faculty and trainers to follow up on necessary documentation and training materials for the pre-, during and post-program phases

- Tracking of claims processes via the SSG Training Portal and to highlight/flag abnormalities and issues in a timely manner to assist with resolving them

- Regular reporting of performance of Institute for Continuing Education (ICE) using different metrics to be agreed with the Head of Executive Education and Senior Business Development Manager

- Oversee all other administrative and operational SSG-related matters in accordance with funding agencies and ESSEC requirements

- Assisting with SSG audits

- All other adhoc matters, if any, as assigned

JOB RESPONSIBILITIES

• Preparing pre-tender contract documentation including reviewing specifications, terms & conditions and securing data and information from various depts;
• Coordinating the Tender Process & responding on Tender queries and performing data extraction, tender evaluation and compliance checks;
• Check and verify contractors’ background and other information where needed;
• Attending tender interviews and preparing minutes and awards;
• Manage contract documentation, including addendums and variations and post tender documentation & management;
• Review all RFQs & contract information in the ERP system for compliance and verify for correctness & compliance;
• Facilitating RFQs on behalf of depts. and ensuring compliance to organizational rules;
• Providing support and advice on operational contractual, procurement and compliance matters including contractual terms and conditions;
• Updating of related Contracts information and database;
• Perform administration and filing of Contracts documentation;
• Communicate with Contractors and vendors including consultants and project teams on contract matters & resolve issues;
• Securing approvals and issuing letters to consultants and contractors on projects & contract related documents;
• Providing advice and support to various depts on contracts and procurement and provide regular guidance and training;
• Perform other duties such as conducting contractors/vendors performance assessments and complying to SOPs & Policies;
• Any other duties as prescribed by Manager/Supervisor.

Responsibilities

1. Coordinate the entire hiring process from job posting, interviewing to onboarding of all positions.
2. Manage documentation for new hirers and departing employees.
3. Process work pass appplications, renewals and cancellations and monitor foreign workers quota closely.
4. Maintain employee records and ensure compliance.
5. Handle all staff insurance matters, including comparision of insurance plans, facilitating insurance renewals, liaising with insurers, processing claims, if applicable.
6. Handle full payroll cycle administration, including monthly payroll processing/ reporting, commission and OT payments, employee reimbursement, CPF submission and employee income tax matters.
7. Responsible for payroll audit exercise and submission of government surveys and government claims
8. Handle staff inquiries and disciplinary matters.
9. Manage staff attendance & e-leave system.
10. Monitor HR policies, particularly compensation and benefits policies to ensure competitiveness and compliance to legal requirements.
11. Proactively work with key stakeholders on various HR matters, including onboarding and offboarding of employees, compensation and benefits, employee performance, staff planning and deployment etc.

Requirements

1. Minimum Diploma in Human Resource Management or equivalent.
2. Minimum 2 years experience in payroll, prior knowledge of Infotech payroll software is an added advantage.
3. Good knowledge of Employment Act and other labour legislation.
4. Proficient in Microsoft Office.
5. Resourceful, able to work independently with good interpersonal skills.
6. Attention to details and able to manage deadlines well.
