The Senior Executive / Assistant Manager will support the Vice President (Systems and Quality Assurance) in implementing and managing the SingEdExcel QA framework, School Management Model (SMM) Knowledge Repository, EduTrust compliance and data protection across the organisation.

SingEdExcel Framework & SMM Knowledge Repository

1. Assist in the development, management, and implementation of the SingEdExcel framework across schools.
2. Support the Vice President in monitoring, reviewing, and evaluating the effectiveness of the framework and the knowledge repository.
3. Coordinate with school leaders and staff to ensure effective adoption and implementation of standardised policies and procedures.
4. Maintain documentation of all policies and procedures, ensuring they are up-to-date and accessible in the knowledge repository.
5. Assist in organising professional learning sessions for school leaders on the SingEdExcel framework and SMM Knowledge Repository.

EduTrust Compliance & Support

1. Support the Vice President in serving as an internal assessor for schools preparing for EduTrust certification.
2. Assist in reviewing EduTrust-related documents.
3. Coordinate and manage documentation and evidence gathering for the EduTrust certification renewal exercise.

Data Protection Compliance

1. Assist in the development and implementation of data protection policies and procedures.
2. Support in conducting data protection risk assessments and audits across all schools.
3. Monitor compliance with data protection laws and regulations and report findings to the Group DPO.
4. Coordinate data protection training and awareness programmes for staff.
5. Maintain comprehensive records of data processing activities and assist in the preparation of reports on data protection compliance.

Job Requirements

• Recognised bachelor’s degree in Education, Business Administration, Quality Management, or a related field.
• Minimum of 3 years of experience in quality assurance, compliance management, or a related field.
• Minimum of 1 year of experience with data protection and privacy laws, and their implementation in organisational processes.
• Knowledge of quality/compliance management systems and frameworks (e.g., EduTrust, ISO 21001) is essential.
• Experience with quality improvement initiatives and system implementation is highly regarded.
• Strong analytical skills and attention to detail, with an aptitude for data review and analysis.

RESPONSIBILITIES

• Assist the store manager in realizing or exceeding determined sales plans and target metric objectives
• Ensure consistent execution of company’s marketing and visual presentation
• Consistent development of product knowledge and customer service standards
• Ensure compliance to policies and procedures and report concerns to senior management
• Maintain proper inventory controls, facilitate inventory transaction and bulk count as guided by senior management
• Ensure the store is secured at closing by checking if the doors are locked, alarms are set and all safes are locked
• Keep daily records of store sales, damages, deposit log, scheduling, employee discount and new hire paperwork

Job Summary

We are seeking a detail-oriented and proactive Leasing Assistant to support our leasing department. The incumbent plays a crucial role in supporting leasing department by reviewing lease agreements for accuracy, maintaining organized documentation, and updating the property management system with current lease and tenant information. Responsibilities include preparing monthly reports on sales performance and occupancy costs, providing general administrative support, and assisting in site studies for potential new locations. The ideal candidate should possess strong organizational skills, attention to detail, and the ability to work collaboratively in a dynamic team environment.

Job Responsibilities

1. Lease Agreement and Documentation

• Review lease agreements and Letters of Offer, ensuring the accuracy of commercial terms, including rent, lease duration, and other key conditions.
• Maintain lease files and documentation, keeping all records organized and up to date

2. Property Management System Updates

• Update and manage the property management system with accurate and current information on leases, tenant contact details, rent payments, and other relevant data.

3. Reporting

• Prepare and update monthly reports, including sales performance, lease renewals, rental occupancy costs.

4. Administrative Support

• Provide general administrative support by answering phone calls, filing paperwork, scheduling appointments, and managing emails.

5. Location Study and Recommendations

• Assist in conducting site studies or surveys for potential new locations, providing conclusions and recommendations based on the analysis of relevant factors.

Qualifications

1. Minimum Diploma in Real Estate, Business Administration, or related field.

2. Preferably with at least 1 years of experience in leasing, property management, or a similar administrative support role within the F&B or retail sector.

3. With good computer literacy in Microsoft Office (especially Excel for reporting purposes).
