We are currently seeking a proactive and detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for a variety of administrative tasks to ensure smooth operations within the company.

Responsibilities:

· Prepare and issue invoice emails to customers

· Prepare monthly sales reports

· Prepare supplies invoices for accounting purposes

· Generate and prepare quotations for customers

· Collect and arrange payment from customers

· Follow up on outstanding invoices

· Assist superiors and prepare cost analyses

· Record Shell card receipts (Company Diesel Card)

· Cover duties of the Storekeeper when necessary

· Negotiate pricing with suppliers

· Check stock inventory and liaise with the storekeeper

Qualifications:

· Proven experience in administrative roles or similar positions

· Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

· Excellent organizational and time-management skills

· Strong attention to detail and accuracy

· Ability to prioritize tasks and work independently

· Effective communication skills, both verbal and written

· Experience in customer service and invoicing preferred

2) Act as customer’s main point of contact to ensure the issue raised are dealt appropriately and be proactive for account management.

3) Proactive for troubleshooting, escalate customer’s pain point and resolve the issues within timeline.

4) Maintain good relationship with customer and related department.

5) Participate for customer related activities; sales, CS, billing, legal, operation, pricing, debt collection etc

6) Update SOPs regularly and share best practices sharing with team members.

7) Sourcing venders for cost reduction plan and provide advises to operation to meet customer requirement.

The HR & Operations executive provides efficient, accurate, and timely administrative support to senior management and the business.

Reporting and maintaining data to ensure accuracy and confidence in the integrity of the service provided.

Principal Accountabilities:

· Provision of the full complement of office management services including reception, office management, and administration.

· Coordination of travel, visa, and itinerary requirements.

· Administration and management of new hire and exit process ensuring staff have all appropriate software accesses and equipment to perform their duties.

· Application of claim reimbursement from employees and government agencies including but not limited to NS, childcare, paternity, maternity, training grants, and traineeship.

· Management of employee data and monthly reporting to Global HR

· Liaison with 3rd parties including government agencies, payroll vendors, insurance agents, etc as required to enable smooth operations such that staff are employed within legislative requirements

· Coordination and administration of procurement, receipting, time writing, and finance within the ERP system.
