Role Purpose

Responsible for safety, quality, health and environmental related matters of assigned vessels.

Role Accountabilities

· Provide support and guidance to vessels under charge on safety, quality, health and environmental matters whilst working closely with the Ship Manager.

· Keep the Head of Marine & Quality Assurance/DPA (HMQA/DPA) and Ship and Fleet Managers fully informed on a regular basis of all the important safety, quality, health and environmental matters affecting ships under charge.

· Monitor safety and environment related risk assessments of ships under charge to ensure that action is taken to mitigate risks throughout the fleet.

· Monitor QHSE related reports, near miss reports and safety observations of assigned ships and provide appropriate responses in a timely manner.

· Keep abreast of industry best practices in safety for introduction to own fleet as appropriate.

· Assist HMQA/DPA in review and upkeep of company’s safety management system to maintain it up to date with new regulations and changing requirements in line with industry best practices.

· Promulgate relevant safety, quality, health and environmental information to the fleet timely via fleet circulars and email.

· Monitor fleet safety and quality performance and determine indicators and trends through analysis of data from internal audits, navigation audits/assessments, PSC inspections, accidents /incidents, near miss reports and safety observations.

· Analyse fleet safety performance data to identify training needs of seafarers.

· Liaise with Operations teams and provide safety, quality and environmental inputs as required.

· Conduct interviews of potential new recruits to determine suitability of employment on company’s ships.

· Carry out briefing of ships’ officers, as required, on QHSE matters.

· Plan and arrange external and internal audits and navigation assessments of the fleet to verify compliance with ISM & ISPS codes, MLC and company’s safety management system.

· Ensure that all internal and external non-conformities and observations related to ships under charge have the appropriate corrective and preventive actions and are closed out in a timely manner.

· Monitor incident and risk assessment reports to ensure that action is taken to mitigate risks throughout the fleet.

· Carry out the duties of DPA during the DPA’s absence.

· Carry out accident / incident management and loss prevention including investigations to determine root causes and establish corrective and preventive actions, and sharing lessons learnt with the fleet.

· Assist HMQA/DPA in preparing management reviews, collate and track suggestions and action items from Master’s reviews and management reviews.

· Submit relevant reports and information to Rightship timely.

· Develop innovative and effective ways of delivering health and safety communications to seafarers, such as campaigns and engagement programmes.

· Design, develop and deliver in-house safety and navigation related training to seafarers, when required, in consultation with the Training & Career Development Manager and HMQA/DPA.

· Where necessary and in consultation with HMQA/DPA, conduct internal safety, security and environmental audits of managed ships.

· Provide guidance and specific inputs to QA Superintendents based on fleet’s safety and quality performance indicators.

People Management

· Provide support, guidance, and mentorship to the team members.

· Lead using a performance management and development process including goal setting, feedback, and performance development planning.

· Empower team members to take responsibility for their jobs and goals.

· Manage and maintain effective employee work schedules including assignments, job rotation, training, vacations, and paid time off, cover for absenteeism, and overtime scheduling.

· Maintain two-way transparent communication. Appropriately communicate relevant organisation information through department meetings, one-on-one meetings as well as appropriate email, IM, and regular interpersonal communication.

· Perform key people-related activities in conjunction with Human Resources that will lead to enhanced engagement and retention of team members.

Crisis Management

· Make every effort to be aware of and understand your role in the event of a crisis.

· Make every effort to attend any relevant training, simulations and or meetings relating to Crisis Management.

Key Qualifications & Skills

Qualifications

· Class 1 Master Mariner Certificate of Competency from a recognised Maritime Administration.

· At least 2 years of rank experience as Master on bulk carriers and multipurpose/container ships and at least 4 years relevant shore based experience.

Technical Skills

· A minimum of 10 years total sea service and have held Master’s position for a minimum of two years.

· Applicant should have Class approved audit training in ISM/ISPS/MLC and training as DPA.

· It is desirable that applicant should have attended an approved risk assessment and incident investigation training course.

Professional Skills

Position Summary Statement

Direct, monitor and supervise the day-to-day activities of all sections within the Front Office and other services rendered by other operational departments of the Hotel, including the Business Centre, and to ensure smooth operations and customer service satisfaction in line with the established standards and policies of the Hotel.

e) Perform duties pertaining to security such as directing guests reporting incidents, thefts, or any offences to the Security department for assistance and handle matters concerning guest’s undesirable conduct in rooms / public areas or undesirable persons loitering around in co-ordination with the security department.

f) Maintain cash float amount in accordance with expected occupancy. Authorise rate and room changes, paid outs, cash advances, acceptance of cheques according to procedures and credit policies.

g) Responsible for training of all reception staff including planning, organising and conducting OJT.

h) Conduct spot checks on the outlets in the absence of Outlet Manager.

i) Monitor room inventory closely to ensure maximum utilisation of rooms to generate higher revenue. Assist to maximise revenue and occupancy from group allotments.

j) Directly responsible for the evacuation of staff and guests during a fire in the absence of the Safety & Fire Manager.

The Senior Sales Manager reporting to Director of Sales is responsible for identifying, developing and managing accounts within specific segments and develop new accounts or business opportunities within corporate travel industry/leisure generating and maximising business potential of designated portfolio through daily sales activities.

The Senior Sales Manager will assist the Director of Sales to accelerate corporate, MICE or Leisure client base by expanding the hotel’s business through executing the developed strategic plans to drive measurable and incremental sales revenue meeting revenue targets set within PPHG group. This position requires an excellent communication skill, both written and verbal and to have a proactive and growth mind-set to work towards a successful hotel sales strategy.

Primary Responsibilities:

Business Development

1. Identify business trends and marketing opportunities that can improve the various hotels performance under PPHG to the Director of Sales and Marketing/Director of Sales
2. Continuously solicit for new business that expands our client base using action plans focused on the corporate and travel market segment identified by the Director of Sales & Marketing/Director of Sales
3. Develops and maintains contact with business partners, travel agents, airlines, corporate accounts, closely aligned to hotel business Prospecting and growing an account list, handling incoming leads and closing sales
4. Aware of sales strategies and goals when selling to negotiate optimum room rate for the benefit of the hotels’ business, sell facts and UPs of the hotel with a view to optimizing opportunities for revenue growth, monitors existing business and share sales strategies during sales/revenue meetings to maximize opportunities to achieve budget goals
5. Plan, execute and follow-up on sales trips as approved
6. Practice professional account qualification on a consistent basis (i.e., measure budget needs, date flexibility, space requirement, competitive information etc).
7. Attend tradeshows, travel functions, major business functions or as required/directed by the Director of Sales & Marketing/Director of Sales
8. Organizes familiarization of hotels and their facilities with clients and potential ones.
9. Responsible for an assigned sales target in accordance to Cluster segmentation - Work closely with each salesperson and identify opportunities and ways to maximize and exceed personal and team revenue goals

General

1. Support and assist in the development of the annual Business Plan, Hotel Budget and Marketing Plan as requested by the Director of Sales
2. Create excellent client relationship through attention to detail; prompt follow up and empathy for customer perceptions and needs whilst maintaining professionalism
3. Prepare periodic sales reports showing sales volume, potential sales, and areas of proposed client base expansion
4. Take ownership of daily sales activities and maximize the productivity by following a system of weekly and monthly action plans
5. Actively assist the Credit Department in follow-up of overdue accounts
6. Other duties assigned by the Director of Sales & Marketing/Director of Sales when required from time to time

Check figures, postings, and documents for correct entry, mathematical accuracy, and proper codes. Organize, secure, and maintain all files, records, cash and cash equivalents in accordance with policies and procedures. Record, store, access, and/or analyze computerized financial information. Maintain accurate electronic spreadsheets for financial and accounting data. Classify, code, and summarize numerical and financial data to compile and keep financial records, using journals, ledgers, and/or computers. Prepare, maintain, and distribute statistical, financial, accounting, auditing, or payroll reports and tables. Complete period-end closing procedures and reports as specified. Prepare, review, reconcile, and issue bills, invoices, and account statements according to company procedures.
