This contract role is to cover the Lead Accounts Executive during her maternity period. Role may be converted into a permanent role based on the business demand during 2024.

The incumbent will assist the Accounts department in the full-spectrum of operational activities:

• Manage activities for full set of accounts;
• Perform daily accounting and finance duties including receivable and payable processes, general ledger, tax and bank reconciliation, etc.;
• Manage end-to-end process of Scope of Work (SOW) for services offered to clients and issuance of invoices accordingly;
• Monthly processing and checking of payroll and reimbursement for external associates;
• Preparation of ageing report and follow up with customers on outstanding payments;
• Maintain proper filing and documentation of records;
• Maintain the fixed assets register and ledger;
• Assist Manager in meeting the stipulated dead-lines for various transactions such as GST returns, IR8A, IR21, tax returns, etc;
• Participate in Payroll projects including implementation/replacing of system;
• Assist in auditing the accuracy, completeness of the documents and records (ie. SOW, Invoices, payroll information, contract, etc).
  

Qualifications and Experience:

• At least a Diploma in Accounting or equivalent;
• At least 4-5 years of relevant work experience related to activities for full set of accounts is mandatory;
• Able to use an accounting software, preferably Tally;
  Excellent communication (verbal/written) skills in Malay (Bahasa Malaysia) and English are very much required because this role requires communication with Malaysia govt. agencies;
• Confidence in communication with clients on a regular basis;
  Proficient in Microsoft Office applications such as Word/ Excel;
• Experienced in high volume invoice management, hands-on with Singapore payroll, expense claims etc., AR/AP operations and in submitting GST returns, IR8A, IR21 etc.

Responsibilities:

As an Accounts Payable, you will play a crucial role in ensuring accurate financial transactions, timely payments, and assisting in ad-hoc payroll processing. This position demands meticulous attention to detail, time management to meet datelines and month-end closing working along with the FM. There will be some form of cash handling and cashiering working with income auditor.

1. Accounts Payable:

• Daily input of all Tax invoices received into SUN accounting system,
• Process Tax invoices and Expense claim reports for payment approval.
• Prepares payment via OCBC Velocity single or batch run for approval and authorization.
• Verify and reconcile vendor statements (SOA) to maintain accurate and complete records.
• Ensure compliance with internal policies and external payment regulations.
• Resolve discrepancies with vendors and internal departments.
• Manage cash float reimbursement, working with income auditor.

2. Payroll Processing (Assisting FM):

• Administer and process ad-hoc payroll accurately and timely, verified by HR.
• To address employee inquiries related to ad-hoc payroll matters.

3. AP and GST Reporting:

• Prepare, reconcile accounts payable and timely close of AP for month-end closing, working with Procurement and Receiving on early cut-off of invoices,
• Prepares the accruals journal at month end for regular suppliers and delivery dockets not paid.
• Collaborate with the finance team to provide accurate financial data.
• Reconcile bank statements and credit card transactions and ensure accuracy of all financial transactions.
• Prepare quarterly GST Input tax returns for review.
• Other ad-hoc assignments and projects as needed.

Qualifications:

• Bachelor's degree in Accounting, Finance, or related field.
• Previous experience in both accounts payable and payroll functions, preferably in the hospitality industry.
• Strong understanding of accounting principles, tax regulations, and labor laws.
• Proficiency in relevant accounting software and Microsoft Office Suite.
• Excellent attention to detail and organizational skills.
• Effective communication and interpersonal abilities.
• Proven ability to work under pressure and meet deadlines.

Responsibilities:

· To communicate and manage delivery schedules to meet the customers needs

· Co-ordinating with various departments on the production process from graphic, printing, binding to packing and resolving problems encounter in these areas

· Process and follow up on customers' orders

· Involve in customers’ visits when they are in the plant and provide assistance when necessary

HR Duties:

• Conduct recruitment effort for all vacancies and in charge of related matters pertaining to new employee orientations & documentations etc.
• Be responsible for generating and upkeep of documentations relating to Human Resource Executive.(Staff P-Files )
• Handle employee on boarding and off boarding
• Calculating employee overtime
• Manage the leave, claims & payroll modules in Human Resource Software.
• Assist in preparing & maintaining the Employee Handbook, Organization Chart and Employee Directory etc.
• Be in charge of insurance matters of staff which includes document submissions, follow-ups with insurer etc.
• Apply training course to employee
• Assist in the management of staff welfare functions (i.e. events, trainings etc.)
• Assist with office administration–including pantry management, procuring office supplies or furniture, invoice management etc.
• Communicate with staffs on human resource and administrative functions.
• Answering enquires from employees.
• Stay updated with MOM guidelines and COVID regulations, and ensure the office is compliant with the most updated regulations.

Selection Criteria and Minimum Qualifications:

Tasks & responsibilities

· Handle full spectrum of Accounts (General Ledger)
· Support our Sales team on the project purchasing and billing.
· Prepares monthly and yearly closing of accounts.
· Monitor income and expenses closely.

· Perform additional accounting task assigned by the Finance/Accounting Manager and Group CFO.
· Handling of all Accounts related matters.
· Provide general office admin support being assigned by manager/CFO.
· Receive telephone calls and direct callers to the appropriate officers and provide available information, where required.
· Travel overseas as and when required.
· Perform any job assigned from time to time by the Management.
