About the role:
The Contract Specialist is responsible for the proper administration of main contract with Fugro’s Clients and subcontracts with main Fugro’s Subcontractors.
Specifically, the professional would:
- Oversee the administration and communication of all elements of contractual terms and conditions from bid through to contract close-out and final settlement.
- Examines and have clarity on project budget and delivery schedules and develops the ability to gauge clear variances to contract and proactively take the lead to take actions that would benefit / reduce project risks.
- Identifies the discrepancies between Contract and Client’s requests and prepares variation request accordingly.
- Pursue any project-claim related matter (inclusive of any litigation as required).
- Supports respective Commercial, Procurement department in preparing bids, specifications, and contractual flow-down for Subcontractors and Vendors.
- Working on BIMCO’s as part of short and/or long term vessel chartering
- Assess contract performance and post-mortems of completed contracts to identify the need for amendments of existing contracts.
- Leading contract negotiations with the support of the legal and commercial teams. Serve as the main liaison with outside contracting representatives.
- Ensure the timely issue of Insurance Certificate and Bank / Parent Company Guarantees as well as timely cancellation.
- Ensure minutes of meeting are recorded for any contractual discussions with external parties.
- Proactively engaging with the client in advance and ensuring the Authorization for Payment processes are well managed on both sides and timely cash collection is made possible. This includes creating invoicing procedures as per the contract and clearly articulated to the respective project stakeholders who are involved in the invoicing process.
- Ensure timely payment of Subcontractors and Vendors.
- Working closely with the Project Manager, Project Cost Controller and Project Coordinator to ensure there is clarity in the understanding of the contract by the PMT
- Responsible to be developing the Project Risk Register together with the Project Manager and Commercial Lead/Manager
- Leads continual improvement efforts with the Project Delivery Director to ensure contractual/commercial lessons learnt are incorporated in future commercial bids
- Research regulations to guarantee contracts are updated and in compliance with the respective country laws.
Core Activities:
- Support Legal and Commercial teams in bid preparation and contract reviews
- Manage and ensure proper execution of Contract
- Identify Project Risks and Minimize Project Exposure
- Ensure timely cash collection
- Support Procurement on subcontracts/POs (flow-down and negotiations)
- Provide Support on Project Claim and Litigation
- Manage Project Communications and Maintain proper contractual records
About you:
- Education: Master - Law degree, or, Engineering degree, or, Quantity Surveying degree, or, Construction related degree
- Working experience: 8-15 years. 8 Years minimum of project experience with EPC / T&I companies, which includes core responsibilities in contracts administration.
- Offshore experience would be a plus.
- Management experience: 0-3 years, Preferred but not mandatory
- License / certification / qualification Legal and/or Contract Management Training would be preferred

Communication:
The Contract Specialist must be able to communicate ideas effectively to the Company, to the other parties involved in the Contract and to Stakeholders to keep everyone appraised of contract-related matters. Excellent oral and written communication skills.
Negotiation:
Outstanding negotiation and interpersonal skills. Negotiation is essential for the Contract Specialist, as it’s their job to get the most benefit possible to the Company out of any Contract considered.
Confidence:
A key aspect of successful contract management is confidence. It takes a strong attitude to successfully negotiate and execute contracts, as well as an understanding of when to walk away and when to stand one’s ground.
Finance Skills:
To evaluate whether a contract is good for the Company, the Contract Specialist must have the necessary financial and commercial skills to determine exactly how the Company would benefit from the Contract.
