Duties and Responsibilities

Key Responsibilities:

- General Administration:

• Maintain accurate student records and update as needed, including but not limited to p-file, attendance, leave, conduct, fee payment, contract generation, etc.
• Prepare reports, track accurate data, and maintain filing systems in accordance with Edutrust requirements.
• Handle front desk duties and direct inquiries to the appropriate departments.

- Records Management:

• Prepare, format, and distribute internal communications, newsletters, and notices to students, parents and staff.
• Enter data for various reports and assist with compiling information for internal use or submission to external regulatory bodies in accordance with Edutrust requirements.

- School Asset Management:

• Monitor and order office and classroom supplies, and ensure the timely delivery of materials and resources.
• Maintain the safety of school premises and assets.

- Student Services:

• Be the first point of contact for student and parents, conducting pre-course counselling, orientation, classroom patrols, resolving complaints and maintaining order at school.
• Organizing school events, meetings, and morning assemblies; handle logistics, invitations, and follow-ups for school events.
• Maintaining order and discipline at school.

Qualifications:

1. Diploma in Business Administration, Office Management or a related field
2. Proven experience in an administrative role, preferably within an educational setting
3. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and basic knowledge of data management systems

Job Description:

Accounts Payable:

• Verify that all vendor invoices, along with the relevant supporting documentation, are promptly updated in the ERP system
• Reach out to vendors for SOA and vendor statement reconciliation
• Guarantee the payment cycle is processed accurately, completely, and on time
• Maintain all documents properly.

Accounts Receivable:

• E-invoices are promptly uploaded to the customers' site and emailed to the customers.

Petty Cash:

• Petty cash and reimbursement management

Administrative tasks

• Placing orders for stationery
• Ad hoc tasks as needed.

Stock audits and counts:

• Periodically assist with internal stock counts

Qualification

• A minimum of a diploma in accounting; LCCI; "A" levels
• At least three years of accounting experience;
• Quick and diligent work;
• Knowledge of GST to guarantee compliance;
• Proficiency with computers, including familiarity with MS Office and common bookkeeping;

Responsibilities:

Supporting HRBP

• To provide HR Business partnering support to the assigned schools and departments in HR matters and issues.
• To effectively utilise HR information systems and databases to record, update and effectively utilize employee data.

Job Description:
