Suitable candidates would need to have a PhD degree in the relevant disciplines with expertise in areas such as Maritime Data Analytics, Marine Environment and Energy, Risk Management, Maritime Sustainability, Human Factors in Maritime Applications, Maritime Digitalization, Maritime Technologies, etc. Previous research experience in the above areas will be an advantage. Candidates should also demonstrate strong and relevant teaching ability and have excellent communication skills. In addition, candidates with experience in the industry will have an advantage.

Job Description:

· Providing secretarial, administrative, and personal supports to MD.

· Conduct weekly diary meeting with the MD to discuss upcoming engagements, invitations, and other requests. (e.g. meeting appointments, travel schedule, and travel arrangements)

· Schedule and manage meetings on behalf of MD, between him and his direct reports and the committees and group to which he is a member.

· Assist MD to follow up on task assigned to subordinate and manage MD’s appointment.

· Filter general information, queries, phone calls and invitations to the MD by redirecting and taking forward such contacts as appropriate.

· Prepare correspondence on behalf of the MD, including the drafting of general replies.

· Prepare meeting minutes and follow up action plans after meeting as and when required.

· Maintain proper filing system for both electronic and hard copies filing.

· Prepare letters, memos for an announcement to staff and related parties.

· Support and assist in the planning of company activities.

Responsibilities

• Responsible for full spectrum of the supply chain including purchasing process (sourcing, quotation enquiry, price negotiation, placement of orders and delivery arrangement), logistics coordination and management and inventory monitoring.
• Issue purchase orders (PO), updating inventory receiving and issuance, receiving purchase orders, suppliers' invoices verification as a backup function, and liaising with Finance Team
• Analyse inventory and implement solutions to improve inventory turnover.
• Ensure the smooth supply chain operations of the company, identifying gaps and inefficiencies in current processes, and implementing process changes and improvements to improve productivity, quality, and efficiency.
• Logistics coordination for timely arrival of components and expediting orders with planning.
• Sourcing suppliers and purchase electrical equipment, spare parts, and other electronic components.
• Manage inventory levels to ensure adequate supply without excessive stockpiling and conduct stock take semi-annually.
• Identify and implement opportunities for cost savings and process improvement in the procurement function.
