Work Dynamics - Integrated Facilities Management

Property Executive duties and responsibilities include planning and executing strategies for completing property management, periodic preventive maintenance, reactive maintenance and maintenance projects within KPI and in a timely manner. Supervising all property management, soft services, M&E services (include M&E minor project work), leading a team and vendor groups to manage and support the tactical delivery and be the on-site key point of contact for the key stakeholders. You will be supporting and assist managing the growth and performance of the site operations together with the SFM, Cluster Leads, peers through leadership, drive excellence, and participate in key discussions. You will also work closely with client’s line managers on property, soft services, mechanical, electrical, and technical field strategy and in driving the implementation of all features include on site. The responsibilities will include supporting the site budget, inventory management, maintenance and operations, contract services, purchasing of material, and equipment & supplies. Ability to effectively communicate via phone and email ensuring that all administrative duties are completed accurately and delivered with high quality and in a timely manner. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected. Direct report to the assigned Cluster Lead or Manager. As an expert in the field, you must be flexible in taking other responsibilities aside from your core tasks. Likewise, you’ll be working side-by-side with both engineering and facilities departments in handling our contractors. Ensuring workplace safety is also within your scope. You will actively participate in health and safety reviews and identify potential risks. You will also participate in emergency evacuation procedures as needed.

Responsibilities

• Manage and oversee the preventive and corrective maintenance works in association with soft and hard FM services where applicable. These shall include but not limited to cleaning, pest control, security, fire protection system, security system, lifts system, ACMV, plumbing & sanitary system, building works, etc. Monitor submission of supervisors’ daily inspection and periodic cleaning reports.
• Manage and oversee the carpark operations and its parking guidance system. Review cleaners’ and landscapers’ deployment and duties to optimal use of manpower.
• Attend to all complaints/feedback, incidents and crisis situations and submit incident report.
• Liaise and coordinate with Contractors to ensure timely maintenance works are done.
• Supervise and ensure that all types of routines and ad-hoc repair works undertaken by the term contractors are carried out according to the Contract. Coordinate with the vendors for their plan training programme for cleaners, landscapers and pest control.
• Compile service reports and send them to Client.
• Plan and implement improvement work for the buildings under his/her care.
• Inspect building common areas and tenanted spaces, reporting all defects and noncompliances to Facilities Manager (FM) or Cluster Leads.
• Attend tenancy fit-out meetings.
• Source for quotations for ad-hoc repair works, parts replacement, and other work.
• Prepare cost estimates for ad-hoc maintenance, reinstatement and improvement works and work completion form/job sheet once work is completed for billing purpose.
• Establish communication with tenants on any disruptions, feedbacks, fitting-out and maintenance works conducted on site.
• Use of Computerized Maintenance Management System (CMMS) to record defects and update the status of the feedback till closure.
• Manage PTW application by the Contractors or Tenants.
• Ensure all statutory licenses and permits are renewed timely (e.g. fire cert, petroleum & flammable materials storage licence, building signage, annual water tank cleaning, periodic structural inspection, periodic façade inspection, etc.)
• Render assistance for VIP Visits and Events.
• Assist the FM or Cluster Leads in preparing the monthly KPI presentation slides and management report.
• To undertake other work assignments which the Management may assign.

• Diploma or Degree holder in Building or Facilities related disciplines with min. 3 years of related working experience.
• Fire Safety Manager Certification an added advantage.

About the Job

Reporting to the Group CEO, you will be responsible for managing the finance activities of their F&B operations. You will be comfortable being hands-on with transactional finance work, ensuring timely and accurate month-end closing activities. In this dual role, you will also be responsible for general HR administration besides assisting with financial operations.

Job Responsibilities

Finance

• Manage financial data entry and accounting tasks, including AR, AP, journal entries, inter-company charges, bank reconciliation, balance sheet schedules, fixed assets registers and general ledger maintenance
• Prepare scheduled accounting schedules, management accounts, financial statements, month/year-end reporting
• Optimise management of cash flows, perform monthly vendor payment/customer billing, payment arrangements
• Handle all regulatory submissions including GST returns.
• Prepare and submit quotations and invoices for relevant projects
• Ensure all accounting records are kept up-to-date and maintained promptly and accurately
• Liaise with the external auditor and tax agent

HR & Administration

• Manage monthly payroll, claims processes, incentives and benefits administration for employees
• Prepare and perform CPF submission, AIS filing, annual IR8A submission and IR21 submission for foreign workers, and other HR submissions
• Assist with the recruitment, onboarding, and offboarding process for employees
• Process Work pass applications, renewals, and cancellations.
• Coordinate with insurance agents with regards to renewal, cancellation, and new insurance coverage plans
• Support any office administration and any other ad-hoc duties assigned by the management

Experience / Qualifications

• Minimum of 2 years of experience in finance and HR roles
• Possess at least a Diploma in Accounting/Finance/Business or equivalent
• Knowledge of accounting best practices and regulations
• Proficient in MS Office, payroll software
• A good team player and able to multi-task effectively with minimum supervision
• Able to work independently and have an eye for detail

1. To assist in the overall management and technical operations of the Marine Fleet that includes the preparation, review and management of all technical documentation, vessel certificates, maintenance records, compliance records and etc.
2. Providing the necessary administrative support and coordination for any vessel inspections, repairs and docking works.
3. Assist in liaising with customers on technical and operational matters that inclusive of vessel performance, etc.
4. Attending to vessel docking, repairs and surveys when requires and carry out supervision on any contractors' repair / maintenance works on board the vessel.
5. Monitoring the technical status of vessel in term of Class certificates and surveys and ensure that all statutory certificates, equipment certificates, etc, are properly maintained, documented and up to date.
6. To identify and source for technical anoperational supplies required for the vessel/s need. Coordinate with the suppliers for timely delivery to the vessels.
7. Monitoring and controlling of the vessels consumables to prevent unnecessary wastage.
8. To keep track of the vessels LSA, FFA, cargo hoses registry, lifting gears registry and PPE of all shipboard personnel.
9. Appointed as safety committee member to carry out tool-box meeting for all the vessels and attend to vessel inspections.
10. To work closely with the HSE team to ensure the smooth implementation and compliance of company's safety and quality standards.
11. To assist in investigating any defects / failures occurred and reporting all vessel incidents, near misses to prevent and eliminate any potential incidents.
12. To assist in maintaining crew records that inclusive certifications, training, medical checks and coordinating in crew changes.
13. To undertake any other technical related tasks and assignments as and when required.

Job Requirements:

• Some relevant working experience in similar capacity
• A team player and ability to work in a team environment with minimum supervision.
• Ability to speak Bahasa Indonesia (to communicate with crew from Indonesia)
• Possess Class licence will be an advantage
