In this position, you will be responsible for the smooth execution of the day-to-day HR administration and training functions while working with a highly motivated team. In order to be competent, you should possess good communication, administrative and coordination skills. You should also have the ability to work in a fast pace environment, have strong sense of teamwork, strong promotion of execution, and strong ability to withstand pressure. Notwithstanding that, you should also have an eye for details and able to handle confidential corporate information.

Responsibilities:

• Manage the end-to-end onboarding and offboarding process;
• Responsible to constantly source for new recruitment agencies and coordinate on the verification and approval process;
• Act as the first point of contact for employees communication;
• Manage staffs training matters and administer training-related funding and claims;
• Coordinate and communicate with other departments to meet staffs training needs;
• Organize and execute employee engagement and welfare activities;
• Support HR activities and initiatives;
• Provide support on HR administrative matters included but not limited to posting job ads, coordination of interviews, insurance listing updates and etc.;
• Any other tasks assigned by management.

Requirements:

• Minimum diploma in related field;
• Fresh entry is welcomed but having 1-2 years experience will be an advantage;
• Possess high integrity, good interpersonal skills and able to work well across all levels in the organisation;
• Meticulous and organised;
• Experience in exercising discretion and maintaining the confidentiality of sensitive corporate information;
• Strong command in both English and Chinese to handle English & Chinese speaking stakeholders.

The position is responsible for coordinating and administrating among rooms division team and correspondence with internal and external stakeholders, organization of the divisional work flow, follow-through on pending projects. He/she is to be a part of various aspect of operation in the delivery of the Raffles Singapore service experience throughout the entire guest journey.

Primary Responsibilities

Manages Administration and General Tasks

• Ensures Rooms Division’s smooth daily operation by performing all tasks in adherence with the code of ethics as issued by Raffles Singapore.
• Oversees the daily occurrence of departmental expenses for better control and oversight for the end-of-month profit and loss reconciliation.

• Co-ordinates with colleagues and representatives of other departments to ensure an efficient flow of communication, assists departmental head with administrative duties whenever required/appropriate.
• Ensures all correspondences, messages, e-mails are responded in timely manner, disseminated accordingly, and remains confidential about all matters of such nature.
• Ensures service standards and individual performance are aligned with Accor Values - Guest Passion, Trust, Sustainable Performance, Spirit of Conquest, Innovation and Respect.

Executes Core Tasks of Guest Assistance

• Delivers the Raffles Singapore guest experience through a pre & post stay guest correspondence and handling guest inquiry.
• Upholds a flawless impression and perception of the Raffles Singapore products and colleagues.

Deals with Supplier and Maintains Contracts

• Takes responsibility for maintaining contracts related to Rooms division and deals with suppliers when modification is necessary.
• Handles all appointments and keeps track of diaries assigned.

Seeks Constant Improvement of Quality in Product and Services

• Ensures personal awareness of the activities and services within the hotel in order to promote the property and is responsive to guest inquiries.
• Ensures all work is followed as detailed in Standard Operation Procedures (SOP), Raffles Singapore Local Standard Operation Procedure (LSOP)
• Leads the handling and follow up on any security incident, guest complaint, and colleague injured together with the Lobby Manager and always reinforces hotel values.
• Adheres to Work Safety and Health (WSH) policies and procedures and ensures all direct reports and peers are trained in and follow WSH guidelines.
• Contributes to the hotel’s Corporate Social Responsibility efforts by supports the Planet 21 program.
• Performs any other duties and responsibilities that may be assigned.

Responsibilities:

• To provide day-to-day support in HR and Administrative functions
• Coordination of Annual or Bi-Annual screening (Drug Test, Audiometric, SATA, etc)
• Assist in ordering and issuance of uniforms/safety shoes/ PPE upon onboarding
• Submit e-invoices online and Issuance of Purchase Orders
• Coordinate with respective department on security clearance and access mattersP-File update & Record – New Hires / Resignees
• Time Event –Closing dates, ETC manual time in/out recording and all other related
• To provide day-to-day support in broad-spectrum HR and Administrative functions
• To assist in the collation of employment documentation (e.g., contract, appraisals, letters)
• Providing guidance to staff on HR systems
• Work pass matters (New applications, renewals, cancellation)
• Maintenance of Company’s property – e.g., office/ computer equipment, communications infrastructure, car park allocations etc.
• Manage and order stationery supplies
• Data Entry, Filing, and Document Organisation
• Assist in the organizing of various company activities, team building, employee care, etc.
• Attend to HR queries from employees and escalate (if necessary)
• Any other ad-hoc duties as assigned

Requirements:

• Diploma/Certificate in HR, Administrative or equivalent
• Minimum 2 years of experience as HR Administrative role
• Possess knowledge on Singapore Employment Act and MOM work pass requirements
• Result-oriented person who is organized, meticulous, resourceful, and with good problem-solving skills
