MAIN PURPOSE

Working hours:

About The Role

· Assist in the administrative and operational needs of the agency

· Provide front-line customer/reception service

· Label and drumming work order printing

· Updating of sales orders' status

· Posting of Drums Filling Advice (DFA) & Receiving in Navision system

Senior Logistics Executive

Location: Boon Lay

Job Responsibilities

Planning

• Plan work received from Production Planners / Sales Executives and Logistics Manager and to divide these work to various Warehouse Assistants / Logistics Coordinators according to their abilities and duties.
• Daily checks of manpower availability and scheduling of overtime if necessary to meet shipping target.
• Schedule for periodic check on inventory of raw material and packaging materials as part of the inventory management plan.
• Check for serviceability of resources such as material handling equipment as part of the logistics activities requirement.
• Communicate with other departments such as Production and Sales to resolve issues that may hinders shipment planning.

Leading

• Act as a mentor to the Warehouse Assistants and Logistics Coordinators and as a role model for them in terms of career development and company direction.
• Act as an advocate for the Warehouse Assistants and Logistics Coordinators by acting as a spoke person in communicating requests to Logistics Manager.
• To train Warehouse Assistants and Logistics Coordinators ensuring that they are properly trained for their specific roles.
• Perform periodic meetings with Warehouse Assistants, Logistics Coordinators and Logistics Executives and share company updates and new objectives with them.
• Maintain close contact with Warehouse Assistants and Logistics Coordinator by interacting with their problems, complaints and suggestions they might have and to bring it to the notice of Logistics Manager; if necessary.
• To lead team on fostering a culture of safety, quality and operational excellence.

Controlling

• Check on daily progress of shipments ensuring closure of orders is done in a timely manner in SAP. Supervise teams and supporting daily logistics operations when required.
• To check the accuracy and perform filing of paper records which are used in the recording of process parameter or CCPs / oPRPs.
• Act as point of communication with QC, Sales or other related departments to derive root cause and corrective actions on all quality rejections, which may affect dispatch dates. To recommend preventive actions and seek advice or approval from Logistics Manager if necessary.
• Provide reports and activity updates to management when requested.

Enforcing

• Ensure Warehouse Assistants and Logistics Coordinators follow the shipping process in accordance to specific process steps and standard operation procedures (SOP) available in ARIS.
• Perform daily check of logistics area to ensure cleanliness of area and equipment are maintained. Communicate with the general cleaners to perform additional cleaning if necessary.
• Ensure the personal hygiene of logistics assistants/coordinators.
• Enforce on safe and healthy working behaviour, wearing of PPEs and to correct and report on all observed hazards and safety non-compliances.

Warehousing

• Oversees and manage storage/shipping logistics for warehouse facilities.
• Overseeing shipment loading and unloading, handling day-to-day operations for the warehouse and creating shipment schedules.
• Monitor packaging materials inventory levels using software programs and initiating orders or shipments when inventory levels become too low or high. Organize Stock replenishment, follow FIFO/FEFO method.
• Monitoring and verification of raw materials on storage locations ensuring physical inventory tallies with system and at the correct storage location.
• Submitting of weekly inventory report to superior and investigate discrepancies and report on any stock adjustment required, including reason.
• Communicating with clients, suppliers and vendors by email or phone to coordinate warehouse operational needs.
• Other duties as assigned.

Job Requirements

• Min. Diploma or Professional Certificate preferably in Logistics/ Supply Chain
• At least 3 years of experience in shipping/ freight forwarding sector.
• Knowledge in Microsoft Office Suite, especially Excel.
• Familiar with SAP or other similar ERP software.
