Responsibilities

Minutes of the Meeting:

• Record accurate minutes of meetings in both Chinese and English.
• Ensure timely distribution and documentation of meeting minutes to relevant stakeholders.

Student Recruitment and Tuition Fee Collection:

• Assist in student recruitment activities, including outreach programs and admissions processes.
• Manage tuition fee collection and maintain accurate records of payments.

Calculation of Teacher Teaching Fees:

• Calculate and process teacher teaching fees per institute policies and guidelines.
• Coordinate with relevant departments to ensure timely and accurate disbursement of payments.

Correspondence Handling:

• Manage incoming and outgoing correspondence, including letters, emails, and phone calls.
• Respond to inquiries and requests in a professional and timely manner.
• Maintain organized electronic and physical filing systems.

Management of Dance Clothing, Musical Instruments, and Supplies:

• Oversee inventory management of dance clothing, musical instruments, and supplies.
• Coordinate procurement activities and ensure adequate stock levels.
• Monitor usage and handle repairs or replacements as needed.

Qualifications

• Diploma or Bachelor's degree in Business Administration, Management, or a related field.
• Fluent in both Chinese and English, with excellent written and verbal communication skills to handle Chinese-speaking customers.
• Strong organizational skills and attention to detail.
• Proficient in Microsoft Office Suite and other relevant software applications.
• Ability to work independently and collaboratively in a fast-paced environment.
• Prior experience in administrative roles, preferably in an educational or arts-related setting, is an advantage.

Reporting to Head, Ops & Planning Section, Department of Medicine, the staff will be responsible for providing oversight to the charging and reporting sub-section, to ensure timeliness and accuracy in billing, and ensure reconciliation of invoices and receivables. Staff will support Pathology operations consisting of planning, coordinating, and facilitating efficient service delivery. The staff will also support in the professional, financial, and administrative aspects within the department.

Key Responsibilities

Primary Responsibilities and Duties (80%)

• Provide oversight to the charging and reporting sub-section

• Provide procurement support to the department, including office supplies, lab equipment and inventory to ensure smooth operations

• Plan and prepare budgets that are consistent with department and hospital strategies

• Monitor budgets (e.g. capex, opex, staff training) and other related funds

• Prepare cost and fee reviews to ensure fiscal sustainability

• Compile and collate statistics of respective sections’ key performance indicators (KPIs)

• Manage projects relating to operations and administrative functions

• Provide support to clinical, research and education activities in the department through resource planning, workflow, costing and billing

• Assist in the formulation and implementation of contracts, partnerships and collaborations with other public or private entities

• Communicate and foster good relations with clinicians, allied health staff and other staf outside the department to facilitate feedback, information flow and streamline processes

Secondary Responsibilities and Duties (20%)

• Perform administrative duties when necessary

• Perform any other duties as assigned by the reporting officer

• Bachelor's degree, preferably with 2 years or more work experience in the healthcare setting
