We invite applications for the position of Assistant Manager / Senior Assistant Manager. The incumbent shall provide technical excellence across multiple laboratories in the School of Electrical and Electronic Engineering.

Responsibilities:

Laboratory Operations

• Manage, plan, and coordinate facilities and equipment in the EEE laboratories.
• Provide technical support on the setup for research projects.
• Develop engineering and technical guidance programs for maintenance and failure analysis of equipment and facilities.
• Laboratory asset management and maintaining proper records for inventory auditing.
• Provide teaching supports to laboratory experiments and projects.
• Liaise and manage vendors/contractors for the technical needs in the laboratories.

Safety & Training

• Ensuring compliance with regulatory and agencies for EEE laboratory safety, including inspections, audits, documentation, and reporting.
• Conduct risk assessments and ensure safety standards are compliant with ISO45001 regulations.
• Development of training program and collaborative platform for knowledge sharing and information/idea exchange to fellow colleagues.

Requirement:

• A Degree in Electrical and Electronic or related discipline.
• Minimum 3 years of relevant experiences in the above scope.
• Hands on experience in equipment maintenance.
• Good understanding of laboratory operation, processes, and procedure.
• Experiences in Biosafety is a plus.
• Experiences in Risk Management.
• Possess excellent communication skills and the ability to collaborate effectively with colleagues and stakeholders.
• Self-motivated, able to provide leadership support and ad-hoc responsibilities in a timely and professional manner.

Job Scope

• Prepare month-end/year-end financial and management reports, audit schedule, and schedule reports
• Prepare suppliers’ payments & chase debtors’ payment
• Update bank balances and cash flow records
• To prepare staff payroll / CPF submission.
• Preparation of GST reporting & submission.
• Prepare audit schedules and assist auditor on year end audit.
• To communicate and liaise with bank and attend to any statutory surveys.
• Process payment for staff claims and reimbursement.
• HR duties.
• Provide general support to the management team.
• Handle administrative task
• Any other duties as assigned by management.

Requirements:

• Diploma in Accounting or an equivalent professional certification.
• Knowledge of QuickBooks is a must.
• Min. 3 years of relevant working experience in accounting
• Able to work independently

Job Responsibilities:

• Attend to walk in visitors.
• Answer and direct incoming phone calls.
• Ensure that the reception lobby and meeting rooms are well maintained.
• Serving drinks and directing client to meeting rooms.
• Ordering and monitoring of office, pantry and PPE.
• Manages and places orders for office supplies (stationery, business cards etc.) and maintain contact lists.
• Produce and distribute correspondence memos, letters, faxes and forms.
• Provide general administration support, including data entry, photocopying, scanning and filing.
• Perform other ad-hoc duties as and when assigned by Supervisor.

Job Requirements:

• Able to speak both English and Chinese.
• Minimum GCE ‘O’ level and above.
• Able to start work immediately or with short notice.
• Meticulous, organized and able to work independently in a challenging environment.
• Excellent written and verbal communication skills and ability to work with all levels of management.
• Proficiency in MS Software, eg. Words, Excel and Powerpoint.
• Able to multi-task.
