2. Monitor, screen and follow up on applications to join the ActSEA family including arranging for and carrying out interviews, preparing internship agreements, and onboarding incoming team members
3. Follow up with members whose statuses have changed, including offboarding
4. Regularly update the ActSEA family profiles database, and encourage team members to update their profiles
5. Run and analyse data from mental health check-ins, and develop capacity and resources to support mental health
6. Improving company policies such as salary and anti-discrimination policies
7. Plan and carry out bonding sessions amongst full-time staff and members
8. Run and manage the progress on ActSEA’s quarterly newsletter

Job Description

1. Process monthly payroll and statutory submission (e.g., CPF, Levy, Income Tax)

2. Government Survey, support in MOM Labor Market survey and other surveys

3. Handle all recruitment, onboarding and offboarding activities including employment passes, renewal/ cancellation related matters.

4. Prepare annual appraisal review documents for Senior Managers

5. Maintain and update employees’ personal files and leave in HR system, ensure confidentiality of all HR documents

6. Submission of government paid leave and MUP claims

7. Periodic plan and arrange company’s events and teambuilding activities

8. Ensure all standard operating procedures for the HR are up to date

9. Liaise with insurance brokers on policy renewal, medical and hospitalization claims

11. Monitor Global HR metrics

12. Any ad-hoc duties as assigned by the management

Who We Need

You will be the transactional expert in a 2-member HR operational functions team to support hospital-wide activities, to ensure that we are compliant with labor law and company policies.

You will drive the following initiatives:

• Manage all work passes for applications & renewals.
• Arrange medical checkup for onboarding and contract renewals.
• Handle staff general enquiries.
• Ensure Work Injury Insurance is reported within the stipulated time frame.
• Administer medical and benefits of employees e.g. submission of staff insurance claims, filing of Government-Paid Leave, etc.
• Provide support on the preparation of employee contracts/re-contracts and letters and ensure documents/records are complete and duly filed.
• Proactively maintain accurate and timely employee data by validating data across our HRIS system.
• Recommend process changes in HR operational processes and participate / support HR process improvement projects.
• Support in the review and implementation of HR policies, procedures and initiatives.
• Assist to arrange interviews, conduct interviews, onboard new employees, such as signing of contracts, explaining terms & conditions to new employees, etc. when required.
• Provide reports and data of the portfolio under your care.

JOB RESPONSIBILITIES

• Incharge of the day to day recruitment process
• Assist to manage employees’ life-cycle activities (Onboarding to Exit)
• Assist in the creating a possitive work environment with organising of staff activities and other well-being related initiatives
• Maintain and upkeep employees’ database (HRIS and Attendance System)
• Assist to manage Employees’ cafeteria and lockers
• Providing administration support and any other ad-hoc project to the HR department
• Any other task assigned
