This role entails providing comprehensive Office and HR administration functions. The role reports to the HR Manager and involves various tasks and responsibilities to ensure the smooth functioning of daily office operations and supporting overall business efficiency.

Key responsibilities include:

Office Administrative Support

• Provide full spectrum of general administrative support to the HR and Admin department, including but not limited to office and facilities maintenance and handling mail, coordinating vendors of all external vendors.
• Update and maintenance proper filing system to ensure documents are traceable in an efficient manner
• Assist in scheduling meetings and coordinating HR-related events or activities.

Employee Onboarding and Offboarding

• Facilitate the onboarding process for new hires, including preparing employment contracts and new hire orientation materials.
• Ensure all necessary documentation and forms are completed accurately and filed appropriately.
• Process employee offboarding procedures, including conducting exit interviews and updating employee records accordingly.
• HR Documentation and Administration
• Maintain and update employee records, including personal information, attendance records, and leave balances into our HRIS system
• Ensure compliance with data protection regulations and maintain confidentiality of employee information.
• Assist in the preparation of HR reports and documentation as required.
• Assist employees with inquiries related to benefits such as healthcare, insurance, and leave entitlements in respective web portals
• Coordinate with relevant vendors and internal stakeholders to administer employee benefits effectively.

Requirements:

• Diploma or Degree in Human Resources Management or related field is preferred.
• Minimum of 1 year of experience in HR administration or related field, preferably with HRIS experience
• Proficiency in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
• Excellent organizational and time-management skills with the ability to prioritize tasks effectively.
• Strong attention to detail and accuracy in data entry and record-keeping.
• Ability to maintain confidentiality and handle sensitive information with discretion.

• Process customer’s orders timely and accurately
• Handle customer’s enquiries and provide sales quotations
• Efficient and smooth handling of customers’ request
• Handling of cargo documentation (Import Container Trucking/Export Container Trucking /Local Point to Point Trucking)
• Closing of job files every month
• Liaise and coordinate with carriers/clients/suppliers to ensure smooth and timely delivery
• Ensure compliance with client’s standard operating procedures
• Coordination with drivers and operations to ensure orders are completed in full and on time
• Prepare monthly/weekly/daily reports as required.
• Other ad-hoc duties as assigned.

About The Job

As a Student Recruitment (SRC) Executive, you will be an integral part of our dynamic team in our journey to support the University’s student recruitment strategies and operational plans for marketing, outreach, and promotional events by providing programme counselling advice to prospective applicants, and organising and executing appropriate student recruitment and outreach activities.

What You Will Be Doing

Key Responsibilities:

- Programme Counselling and Customer Service

• Support the university’s promotional efforts and activities by providing appropriate counselling, guidance and encouragement to the general public who are interested in our university’s programmes.
• Attend to all course enquiries via phone, email, and walk-ins, and manage and monitor those received by the team.
• Offer programme advisory to prospective students to help them make informed decisions about their educational path.
• Assist prospective applicants in their application submission process.
• Maintain and meticulously track applicants and leads in our database, capturing details from diverse sources including phone, email, walk-ins, and recruitment activities.
• Be committed to maintaining a high standard of service by ensuring swift follow-up on enquiries and feedback from both prospective and signed-up applicants.

- Student Recruitment and Outreach

• Collaborate closely with the SRC Manager to craft and execute innovative marketing strategies for our university's programmes, both locally and abroad.
• Participate in the planning and execution of a range of engaging local and overseas events (e.g., open houses, education fairs, information sessions, seminars, talks etc.), ensuring their seamless delivery.
• Liaise with external stakeholders such as Institutes of Higher Learning and corporate organisations to organise impactful local outreach activities.
• Work with our university's overseas representatives and contacts to organise and participate in international student recruitment and outreach events.
• Collaborate with the SRC Manager to prepare and deliver impactful presentations to prospective applicants in polytechnics, institutions, organisations, and the general public.
• Maintain meticulous records and documentation, and accurately track the statistics and outcomes of student recruitment and outreach activities, ensuring the success of our efforts.

- Website Content Management

• Assist the SRC Manager with the copywriting/copy editing and updating of information on the website, ensuring that the information is accurate and up to date.
• Liaise with internal stakeholders (e.g., Schools, Admissions department) to ensure that student recruitment information on the website is kept updated and current.
• Check and ensure accurate and up-to-date student recruitment-related information on the website.
• Post student recruitment events/activities on the website.

General Responsibilities:

• Participate in University-wide activities as specified in the respective action plans and/or duty rosters (E.g., exam invigilation, orientation, convocation, etc.).
• Coordinate department events/processes, schools, etc.
• Assist with other tasks, duties as necessary or assigned (e.g., coordinate department meetings, minute-taking, etc.).

Job Requirements:

Academic Qualifications

• Degree Holder or GCE ‘A’ Level or Polytechnic Diploma with at least 2 years of working experience, preferably in customer service/administration.

Personal Attributes

• Proficient in Microsoft Office, including Excel
• A good team player with good interpersonal, communication, presentation and writing skills.
• Pleasant disposition with good customer service skills.
• Self-motivated, positive attitude, able to work independently and take initiative.

• Prior experience in overseas outreach and engagement will be advantageous.

• As the job position requires communication with international students from China, candidate should also have a good command of the Chinese language, and proficiency in WeChat would be preferred.
