The ideal candidate will be a meticulous and proactive professional with proven practical experience in both HR and administrative functions. Here’s an overview of what we are looking for:

Human Resources Key Responsibilities:

• Facilitate the recruitment process by coordinating interviews, processing applications, and assisting with candidate communications.
• Manage employee benefit programs (leave, insurance, etc.) and maintain accurate HR records in HRMS.
• Serve as the primary contact for HR-related inquiries and handle onboarding and offboarding processes.
• Support performance management, training, and compliance with employment laws.
• Organize employee engagement initiatives and collaborate on company culture and retention strategies.

Office Administration Key Responsibilities:

• Process staff expense claims and manage office payments and supplies procurement.
• Oversee office maintenance, cleanliness, and liaise with service providers.
• Administer work pass and visa applications, coordinate staff travel, and organize company events.
• Maintain office files, provide general administrative support, and implement office policies.
• Handle ad-hoc related tasks and special projects as assigned by management.

Qualifications and Skills:

• Experience: Minimum of 3 years in HR and administrative roles.
• Qualifications: Diploma or Degree in Human Resources, Business Administration, or related field.
• Technical Skills: Proficiency in HRMS and office administration and office automation software (e.g., MS Office Suite).

Responsibilities:

• Technical support working closely with senior staff and Project Managers
• Technical working knowledge of flora and botany, vegetation and habitat classifications, and ecosystem dynamics within Singapore and/or SE Asia.
• Contributing to environmental projects and business growth in Singapore, SE Asia, and Asia (depending project opportunities) on technical aspects of one or more of the following: Biodiversity Impact Assessment (BIA), Environmental Maintenance and Management Plans (EMMP), Environmental Baseline Studies (EBS) including biodiversity baselining or monitoring etc. Ability to work on a combination of these services will be highly regarded.
• Participate/ experienced in biodiversity surveys with a key emphasis on flora, ID species on site, experienced biodiversity impact assessments, sustainability reporting TNFD etc.
• Have a keen interest and knowledge base in Nature Positive approaches, habitat restoration and habitat offsetting.
• Contributing to project presentations and client meetings with senior staff and Project Managers.
• Business development support for current and prospective clients.
• Comply with quality management on all work products.
• Task budgeting and scheduling control.
• Coordinating with stakeholders, sub-consultants and other disciplines, as necessary.
• Business travels may be required.

Requirements:

• Master’s degree in Ecology, Environmental Science, Environmental Management, Nature Conservation, Nature Based Solutions or other related disciplines (e.g., civil engineering and environmental engineering) OR Bachelor’s degree plus equivalent years of experience in the environmental field.
• 3-7 years of relevant experience in ecological consultancy, environmental engineering, environmental planning or environmental management sector. Qualified applicants will be considered for senior positions.
• Ability to use modeling software/s will be highly regarded.
• Candidates with graphic skills such as CAD or GIS, will be highly regarded.
• Candidates with proven project management ability will be highly regarded.
• Fluent spoken and written English.

Donor Management

• Strategize and develop donation requirements to meet the needs of the Centre
• Identify potential donor sources, handle donor enquiries and match donors with suitable opportunities
• Foster strong relations with donors and stakeholders through engagements and appreciation
• Maintain the donors’ database
• Prepare and submit monthly donor reports
• Practise good stewardship and allocation of donations

Volunteer Management

• Strategize and development volunteer requirements to meet the needs of the Centre
• Identify potential volunteer sources and handle volunteer enquiries
• Oversee the full volunteer life cycle ranging from recruitment, screening/interview, matching, orientation, deployment, review/feedback, appreciation, training and exit
• Foster strong relations with volunteers and stakeholders through care support and engagements
• Maintain the volunteer management system and time-banking portal
• Prepare and submit monthly volunteer reports

• Event Management
• Support in the planning and organizing of key centre-level events for residents and stakeholders
• Drive and ensure smooth operations of key events
• Involve in media liaison and coordination of corporate and media-related events, such as filming and interviews

Administrative and Other Work

• Support in the preparation of departmental plans, reports and related admin work
• Participate in key strategic meetings with internal and external stakeholders
• Undertake any other duties assigned by Senior Executive – CP and Head of Centre
