The HRPC is a first-of-its-kind research centre, established at the NUS, to spearhead and conduct research and development to better enable the future challenges arising from rising ambient heat. The Research Assistant who will play a key role in assisting in the development, execution and analysis of research aimed at addressing the challenges of training and operating in rising ambient temperatures. Responsibilities :

· Provide administrative support to the dealing team

· Ensure prompt order entries with due diligence and care

· Helping to process account opening forms and other general update forms

· Writing and gathering of research and stock market news for Hong Kong and US market

Requirements :

· Diploma in Banking and Finance, Accountancy, Business or equivalent

· Able to work independently; possess good interpersonal and communication skills

Prior working experience in backroom operation of a stockbroking firm preferred

· Purchasing:

• Issue Purchase Orders (POs) and coordinate with suppliers for material pricing.
• Update material prices in the system.
• Match POs, Delivery Orders (DOs), and Invoices; submit to Accounts.

· Inventory Management:

• Monitor machinery and material inventory movements.
• Track asset and equipment calibration schedules.
• Prepare delivery notes for materials drawn from the warehouse.

· Company Vehicle Management:

• Oversee road tax and insurance renewals for 3 company lorries.
• Arrange lorry servicing and repairs with the workshop.

· Office and Facilities Maintenance:

• Maintain office facilities and equipment.

· Audit Support:

• Assist with ISO and BizSafe audits (with consultant support).

· Shipping and Document Management:

• File hard copies and digital copies of shipping documents.

· Certification Management:

• Maintain and renew company certificates (e.g., BCA, ISO, BizSafe, SGBC).

· PPE Tracking:

• Monitor and track Personal Protective Equipment (PPE) for workers.

• Support duties related to accounts payable and accounts receivable functions.
• Prepare of financial and statistics statements and report.
• Monthly bank and accounts reconciliation.
• Handle petty cash claims and reimbursement.
• GST returns and ensure all transactions comply with IRAS's regulation.
• Liaise with auditors and preparing audit schedules.
• Manage full sets of accounts and ensure timely & accurate month end closing.
• Other ad-hoc duties.

Job Responsibilities:-

• Abilities to handle simple full set of accounts include reconciliation.
• Processing of vendor invoices in FMCG Retail sector.
• Processing of payment run for all modes of payments.
• Performing bank clearing, vendor reconciliations, etc.
• Responsible for journal entries for AP function.
• Assisting and attend in month end closing and liaising with other teams as required.
• Client billing reconciliations and validation, reviewing goods receipt reports, verifying petty cash claims, settle vendors’ issues on invoices including credit notes, stock take and asset reports, vendors’ invoice postings in ERP
• Perform internal audit of transactions and processes to ensure correct application of contractual requirements and compliance with key financial controls
• Ensure timely reporting of transactions for month-end closing by working closely with multiple departments in the account
• Work closely with the Head of Retail and Sales, Finance team to reconcile business transactions and resolve issues, if any
• Assist on projects within the account and vendor contract reviews
• Continuously seek process and policy improvements. Streamline as and when necessary
• Any other tasks as assigned by Head of Finance and GM

• Scan and print required documents needed to collect information for data entry

• Work following privacy guidelines as dictated by state and federal law

• Generate weekly and monthly reports regarding sales information or areas to be improved upon

• Ensure proper updates of required software and train new employees as needed on company processes

• File and organize paperwork used to enter data into programs to keep a record of original documents • Liaise with operation team on materials codes.

• Follow driver go customer side for collection.
