In collaboration with the University of Economics Ho Chi Minh City (UEH), Nanyang Business School (ASEAN & China Programme Office) has commenced its new NTU International MBA (IMBA) to prepare working professionals in Vietnam for global business leadership roles in today’s green and technology-driven technology. This role reports to the Assistant Director (Operations) in the ASEAN & China Programme Office (Singapore) and work directly with counterparts who are based at University of Economics Ho Chi Minh City (UEH) to support the daily operations and engage the Vietnamese-speaking markets and students for the IMBA.

Job Description

• Support the Assistant Director (Operations) in the management and coordination of administrative and operations-related functions for the IMBA (Vietnam)
• Programme and Curriculum Management (Including but not limited to timetabling, faculty appointment, exam planning, administer course registrations, candidature matters and academic assessments etc.)
• Faculty Support and Student Management
• Manage the planning, scheduling, and execution of orientation activities for the programmes, including procurement of orientation items, refreshments, preparation classes and materials, workshops, and teambuilding events.
• Monitor student’s graduating status and schedule graduation and related activities.
• Strive towards the provision of positive, enriching, and memorable academic and social experiences for the students through carrying out the operational, administrative aspects of the programmes with integrity, professionalism, and a collaborative mindset.

Requirements

• A degree holder, preferably with relevant work experience of 5 to 7 years, with at least 3 years of experience in customer service and administration, preferably in the education industry
• Relevant experience in marketing communications will be an added advantage

Responsibilities:

1) To manage and to provide administrative support in postgraduate research programmes

• Administrative support to scholarship, applications, admissions, reports, statistics, and research attachment.

• To provide guidance to faculty and students whenever required for postgraduate programme document submission such as PhD and MEng.

• Equipped with a good knowledge and understanding on administrative process, faculty and students are able to prepare the programme documents independently.

• To liaise with ACR and OA on various administrative process.

• Ensure that the Oral Exam and QE documents are submitted to OA without delay and on or before deadline.

• Provide assistance to faculty and students in postgraduate programme process and flow. This helps to ensure that the documents are submitted within schedule without the delay and queries from OA and scholarship agency.

2) Adoption of technologies to improve operational efficiency

• Implement a digitalized system to keep the information of supervisors and students. Ease of the documents retrieval whenever required and minimize human error.

• Enhance the level of automation in various procedures related to postgraduate programmes.

3) To resolve outstanding issues

• Problem investigation and to arrive at solutions to resolve the various issues and appeal cases.

• To preempt the potential problems that could arise from disputes.

• To ensure faculty follow policy and procedures of school and university.

4) To provide the documents to OA, CoE, and various departments

• To analyse the various statistical data related to admissions and to implement an efficient approach to derive the statistics.

• To review applications and admission to support the School in research strategic planning.

5) Supervisory and delegating

• Oversee functions and responsibilities of support staff; Allocate tasks to appropriate staff with the right skills; Brief and monitor progress of delegated tasks.

• Ensure that tasks are completed satisfactorily and efficiently within allocated time frame.

• Coach new skills to the support staff to cope with the changes.

• Continue to improve the current administrative process.

6) Reimbursement of claims

• Liaise with finance and supervisors on the complexity of the claims.

• Coach support staff on handling the different requirements of claims related to conferences and research attachment.

7) New faculty support

• Assist the new faculty onboard our School in postgraduate programmes.

We invite applications for the position of Assistant Manager/Senior Assistant Manager, Laboratory Services. The incumbent shall provide technical excellence across multiple laboratories in the School of Electrical and Electronic Engineering.

Key Responsibilities:

Laboratory Operations

• Manage, plan, and coordinate facilities and equipment in the EEE laboratories.

• Provide technical expertise on the facilities setup for existing/new research/joint industrial projects.

• Develop engineering and technical guidance programs for maintenance and failure analysis of equipment and facilities.

• Provide technical support for the renovation of EEE laboratories and the setup of research areas.

Safety & Training

• Provide Engineering guidance in the safety system for EEE laboratories operation.

• Develop emergency response plans and provide adequate training to handle research activity.

• Ensure compliance with regulatory agencies for EEE laboratory safety, including inspections, audits, documentation, and reporting.

• Develop training program and collaborative platform for knowledge sharing and information/idea exchange to fellow colleagues.

• Formulate procedure to train stakeholders with different capability in utilizing power engineering equipment in the lab.

Requirement:

• Degree in Electrical and Electronic Engineering.

• At least 5 years’ experience in Maintenance, Building Services, Facilities Management, Project Management.

• Strong Technical Knowledge in Engineering discipline.

• Understanding of laboratory operation, processes and procedure.

• Prior knowledge in Workspace Safety. Licensed electrical worker (LEW) holder will be an advantage.

• Self-motivated, able to coordinate works among different stakeholders, provide leadership support and ad-hoc responsibilities in a timely and professional manner.
