Responsibilities:

Warehouse Management

• Manage and review Distribution Centre operational policies, standards and procedures including the implementation of warehousing solutions, in accordance with warehousing business and operational needs. Responsible for managing warehousing inbound, outbound, inventory operations, including manpower and internal assets.
• Review warehouse planning methods, warehouse storage and layout plans
• Determine warehouse storage system strategy using knowledge of changes in conditions, operations and the environment and its impact to outcomes
• Efficiently plan for the most optimal warehouse storage location to maximize storage capacity, space availability and reduce travelling time during the pick and pack.
• Organize planning of resources within business activities
• Keep team members focused on service delivery, considering the cost, timeliness, impact and quality.

Warehouse Operations

• Planning of smooth end-to-end warehouse flow and processes from order initiation to receiving, handling, distribution and storage.
• Resolve warehousing issues in a timely manner.
• Ensure stacking, moving, and arranging items on pallets according to storage plans.

Inbound and Outbound Operations

• Oversee inbound and outbound operations.
• Ensure of the following :
  • Goods received are in tact and check as per requirement
  • Timely update of SAP / WMS.
  • Proper handling, labeling for identification and storage of receiving goods.
  • Warehouse Assistant (WA) performs sample pick for Quality incoming inspection.
  • Timely issuance of raw materials to Factory warehouse.
  • All Orders (Export, ECommerce, SG Cartel, Factory, Goods Request Forms) are processed timely.
  • Cycle and Monthly stock count.
  • FIFO (First In First Out)is carried out for normal delivery.
  • FEFO (First Expire First Out) is carried out for export delivery or as per SCP instruction.

Drive Workplace Safety, Health (WSH)

• Ensure a safe workplace in the warehouse adhering to WSH standards.
• Ensure inventories are placed properly in the warehouse adhering to BRCGS standards.
• Ensure the team members are competent in using the equipment.
• Perform safety and health risk assessment.
• Maintain general housekeeping of the warehouse. Perform warehouse operations in accordance with 5S (sort, set, shine, standardise, sustain) techniques.
• Ensure corrective actions to address areas of non-conformance to WSH and BRCGS standards
• PCQI trained and member. To develop & monitor Food Safety Plan & to respond to any Food Safety issues for warehouse and DC

Transportation Management and Operations

• Manage and review transportation operational policies, standards and procedures in accordance to transportation business and customers’ needs, including the implementation of transportation solutions. Responsible for managing transport resources for local delivery, including manpower, internal assets and external vendors.

Drive Local Delivery Operations

• Review effectiveness of risk management plans and resources for transport execution.
• Communicate the importance of achieving transportation operation timeframe outcomes with efficient use of resources.
• Formulate vehicle fleet management strategies across different plans.
• Negotiate pricing if needed to use 3rd party for local delivery.
• Ensure daily transportation delivery schedules are developed properly with consideration of timelines and resource factors, minimize downtime.

Shipping and Operations

• Manage and review shipping operational policies, standards and procedures in accordance to freight operational and customers’ needs, including adopting the best and cost effective freight solutions.Responsible for managing freight operational resources, including manpower and external vendors.

Manage Export freight forwarding operations

• Develop freight shipment solutions for improvements and/or closing gaps.
• Maintain relationships with vendors, carriers, and logistics operators to provide competitive shipping solutions.
• Manage performance of logistics partners to ensure compliance and alignment with customer requirements and contractual obligations
• Keep team members focused on service delivery, taking into account cost, timeliness, impact and quality.

Efficiency

• Monitor effectiveness of warehouse operations strategies aimed to reduce operation costs.
• Liaise and work closely with relevant departments to solve outstanding problems and establish better coordination.
• Assist in forecasting and budgeting reports for DCs operations
• Manage the DC activities to ensure the resources are used effectively and the daily work schedules and targets are met.

Maintaining Residences Operations

• Maintains knowledge of owners’ name/number/family members, residence numbers, and floor plans and hours of operation.

• Maintains knowledge of all marketing packages and promotions used by the sales team (if the property is still in sales).

• Maintains knowledge of the Hotel Reservation Services

• Responsible for assisting in the day to day operations for Residences, including vendor activity on-site and office administration.

• Conduct daily line-ups

• Participate in monthly departmental meetings to review and assist in the implementation of action plans to improve employee and owner satisfaction.

• Provide employee recognition on an ongoing basis, including an annual staff event.

• Maintain complete knowledge and comply with all residences policies and procedures and protects the privacy of the owners.

• Maintain knowledge of homeowner Rules & Regulations.

• Communicate with the General Manager or the Director of Residences regularly regarding issues and information relating to residents.

• Provide feedback to the General Manager of Director of Residences for local standard operating procedures and assist with departmental compliance.

• Create an environment of open communication for Ladies, Gentlemen and Owners.

• Monitor logbooks and service requests to verify timely completion of tasks.

• Monitor unit admittance procedures and verifies correct key inventory

• Creates and maintains filing system: work orders, reports, home care records, invoices, correspondence, owner forms and proof of insurance.

• Office Communication should be replied to and filed in a timely fashion

• Communication via newsletters, email, and faxes may be required on behalf of the association. The General Manager or Director of Residences will monitor the communications the Residential Services Manager will execute.

• Maintains accurate homeowner’s roster and follow up with services deficiencies

• Knowledge of the computer systems including, Mystique, Buildinglink, scheduling software and key control software.

• Communicates with homeowners, management and employees.

• Manages owner expectations while remaining calm and courteous.

• Works flexible hours, including weekends, holidays and evenings if necessary.

Managing and Conducting Residences Activities

• Responsible for assisting in the planning and execution of services and lifestyle activities involving homeowners and the hotel when applicable.

• Responsible for supporting the leadership team in fostering and maintaining good relationships with the homeowners and their representatives by providing services and amenities aligned with Ritz-Carlton Brand and quality standards.

• Actively participate in activities and communication that support full participation in the Owner Engagement Survey.

• Document all resident requests, complaints or problems immediately, implement them in to Buildinglink and notify the designated departments.

• Serves as a liaison between homeowners and various departments and builder/developer.

• Provide homeowners with at least 3 options for vendors or Ritz-Carlton services that can aid in home or unit maintenance. Will report any issues that pertain to vendors or service providers and will assist in resolving the issue.

• Communicate a la carte services provided by Hotel and will communicate requests in a timely manner.

• Submit maintenance and housekeeping requests to the appropriate department and follow up accordingly.

• Collect resident owner’s preferences, track and record additional preferences and put them in Mystique.

• Report any common area items that are not in line with Ritz-Carlton Brand Standards.

• Create an environment that fosters WOW stories and Lionshare Best Practices.

• Familiar with Business Priority Matrix.

• Participation in the creation of WIG’s, Lead Measures and the WIG Boards. Participate in weekly calls.

• Familiar with the balanced scorecards in Employee/Owner Engagement.

• Plan regular social gatherings for owners and assist in the creation of newsletters and other methods for communicating events.

• Assists in the properties cleanliness and is responsible for their part in protecting the physical asset through visual inspections and self-audits.

Key Responsibilities:

· Manage front office operations

o Collaborate with various departments on guests' special requirements and requests.

o Storage of luggage in the baggage room is properly controlled, recorded, and is neat and tidy at all times.

o Daily update of digital signage events board on F&B activities and events for the day is accurate.

· Drive service and operational excellence

o Build guest relationships to enhance return visits.

o Interact with guests to gather feedback on service quality.

o Manage service recovery for escalated guests' concerns and feedback with proper records.

o Manage team's service performance in response to guests' needs and requests to ensure guest satisfaction.

o Review and recommend systems and processes for workflow and productivity improvement.

o Manage cost control to keep departmental operating expenses within budget.

· Manage operational risks

o Manage emergency situations.

o Operationalise compliance management on data protection regulations and organisational security procedures for guest registration and credit and cash transactions.

o Where on night shift, all emergency and/or incidents should be duly reported immediately with records.

· Team Management

o Provide mentoring and guidance to improve staff work performance.

o Carry out daily briefing with team members.

o Upkeep proper daily operations records.

o Attend meetings when required.

· Any other tasks to be assigned by the Management.

Key Requirements:

· Diploma in Hospitality Management

· Minimum 5 years of relevant experience

• Responsible for spearheading, implementing, and maintaining the Company’s Quality Management System in compliance with:

1. MOH Healthcare Services Act and other regulatory relevant to the company’s services and products
2. accreditation and certification standards: AABB (Association for the Advancement of Blood and Biotherapies), FACT (Foundation for the Accreditation of Cellular Therapy), GDP-MDS SS 620 (Good Distribution Practice for Medical Devices) and other standards when required for the CGL’s services and products

• Ensure requirements for AABB, FACT and MOH license guidelines are implemented and maintained
• Report performance of the quality activities minimally on a quarterly basis and conduct a management review annually.
• Responsible for interfacing with regulators and external quality auditors.
• Monitor and review quality indicators and quality-related reports.
• Provide guidance to departments in the review and refinement of current practices, protocols, processes and risk assessment
• Lead / Facilitate other departments in the root cause analysis of non-conformances to put in place effective corrective actions.

• Coordinate and review, on a periodic basis, operational and quality risk assessments, including workplace safety.
• Review, perform and lead gap analysis of new/revised standards published by regulatory and accreditation bodies to ensure departmental SOPs are in compliance
• Setting up of Quality Management Practices and assisting in risk assessment for new services or entities assigned

Requirements

• Degree At least 5 years of working experience in Quality Management, preferably in Healthcare, Bio/Pharma, Health Services, biotechnology/biotherapies related industry, and at least 2 years in a managerial position.
• Led organization in regulatory assessments, accreditation preparation and audits
• Process improvement knowledge and experience
• Ability to handle tight deadlines and irregular situations
