Position Title: School Operations Assistant I

Requirement Specification:

Objective: The Contractor shall provide the Services by deploying one (1) competent personnel (“Personnel”) to support the operations of the School.

Duration of Service:

• Contract Period: March 1, 2024, to February 28, 2025
• Option to Extend: The Contractor grants the School the option to extend the Contract for a further period of 1 year from March 1, 2025, to February 28, 2026.

Work Hours:During School Term (non-school holidays):

• Mondays to Fridays: 6:30 am to 4:00 pm (9.5 hours), inclusive of 1-hour lunch break.

During School Holidays:

• Mondays to Fridays: 8:00 am to 5:30 pm (9.5 hours), inclusive of 1-hour lunch break.

Scope of Services:The Services required are set out as follows:

School Operations Assistant I:Reporting to the Operations Manager (OM), the candidate will assist in supervisory functions and carry out the following duties:

• Maintaining the security and safety of school premises and property.
• Operating school burglar alarm and auto lightning warning systems.
• Resolving school traffic movements.
• Ensuring timely completion of operations department’s projects or works.
• Acting as the security OIC under the school emergency structure.
• Assisting OM in managing contractors and ensuring compliance with Workplace Safety and Health Act (WSHA).
• Working with school Managing Agent and contract cleaners on school cleanliness and hygiene maintenance.

The candidate will also assist OM in:

• Periodic stock check of stores for health, emergency, and safety equipment and logistics.
• Providing logistics support for school activities, excursions, and functions.
• Any other administration/operation duties assigned.

The personnel shall sign an Undertaking to safeguard official information.

Qualification, Skill & Experience of the Contractor’s Personnel:The Personnel shall minimally have the following qualifications, skills, and experience:

School Operations Assistant I:

• Good communication and interpersonal skills.
• Preferably with Workforce Skills Qualifications (WSQ) Career Readiness Certificate (Operations Level) or equivalent.
• Preferably with three (3) years frontline Customer Service experience.
• Minimum five (5) years experience with a proven track record in security and operations field, or equivalent.
• Physically fit and mobile.
• Relevant work experience in security and operation with a MOE school is advantageous.
• Preferably with a Security Officer’s license issued by Police Licensing & Regulatory Department (PLRD).
• Preferably with five (5) years of Supervisory and leadership skills to manage a group of security guards and contract cleaners, in the absence of the OM.

Overview:

Operations Executive play a key role in upholding and maintaining the safety and security of the school, as well as logistics and estate management. Assisting the OM to Lead and supervise a team of Operations Support Officers, you will directly impact the learning and development of students by ensuring a safe and conducive environment for them.

Scope of Services:

• Supports Operations Manager (OM) to ensure daily operations run smoothly.
• Monitors and tracks school’s facilities, and operating system/equipment, to ensure they are in order. He/she will follow-up with the vendors/Term Contractors (TCs) to ensure defects are rectified.
• Conducts daily check on school’s perimeter, building and infrastructure to ensure school safety and put up the fault reporting.
• Works closely with the team of Operations Support Officers (OSOs), TCs, contractors, service providers such as security guards, cleaners, vendors, and contractors etc. For example, he/she will lead the OSOs to set up the venues for school events such as examinations, meetings etc
• Provides administrative support to OM such as tracking of contractors’ work sheets, maintenance, and procurement.
• Liaises and corresponds with the external agencies such as HDB, Town Council, TCs, Managing Agent, and LTA contractors to ensure school has a conducive environment for teaching and learning.
• Any other duties as assigned by OM pertaining to school’s operation and safety.

Requirements:

• Prior experiences in facilities / estate management will be beneficial
• Possess some technical skills in building, mechanical, electrical services.
• Basic understanding of fire safety or facilities processes.
• Good oral and written communication and able to communicate effectively with vendors and different stakeholders
• Proficient in basic Microsoft office

Responsibilities

• Assess vehicle, provide advices to customer, prepare servicing schedule, prepare quotation and ensure customer satisfaction.
