Job Description:
1. Administrative Support:
ā¢ Maintain workshop records, including vehicle maintenance logs and inventory.
ā¢ Coordinate vehicle repairs and servicing appointments.
ā¢ Manage workshop documentation, such as work orders and invoices.
ā¢ Communicate with drivers, mechanics, and other workshop staff.
ā¢ Manage office supplies inventory and employee records.
ā¢ Arrange yearly renewal of ISO & OHSAS certifications.
2. Reception and Front Desk Duties:
ā¢ Greet visitors and direct them appropriately.
ā¢ Answer and direct incoming phone calls.
ā¢ Manage incoming and outgoing mail.
3. Facility Management:
ā¢ Coordinate maintenance and repairs with building management.
ā¢ Monitor office equipment and arrange servicing.
4. Purchasing:
ā¢ Source and procure automotive spare parts, tools, and supplies.
ā¢ Obtain price quotations and negotiate terms with suppliers.
ā¢ Place purchase orders and monitor inventory levels.
ā¢ Maintain supplier relationships and evaluate performance.
5. Financial Management:
ā¢ Monitor workshop expenses and maintain purchase records.
ā¢ Assist in budget planning and cost control measures.
ā¢ Coordinate with finance for invoice processing and payment reconciliation.
Requirements:
ā¢ Proven experience in administrative roles, preferably in a workshop or automotive environment.
ā¢ Strong organizational and multitasking skills, with attention to detail.
ā¢ Excellent communication and interpersonal skills.
ā¢ Proficiency in Microsoft Office applications and inventory management software.
ā¢ Knowledge of automotive parts and supplies procurement processes is preferred.
ā¢ Ability to work independently and collaborate effectively within a team environment.
ā¢ High level of integrity and professionalism.
