Role

To undertake all financial accounts, human resource and administrative matters of the company.

Responsibilities

• Prepare and handle daily accounting operations, such as invoicing, payment, reconciliation of bank statements, etc
• Review monthly and yearly Balance Sheet, Profit & Loss, Trade Debtor and cash flow reports
• Assist in the financial year closing process in providing information and data as requested
• Liaise with company secretary, bank, accountant, tax agency and relevant authorities
• Manage payroll, CPF and taxation matters
• Ensure compliance with accounting principles and regulatory requirements
• Assist on a whole recruitment process and other HR relevant matters
• Liaise and deal with company other operation suppliers, such as legal, office, HR agency, etc.
• Manage the office and ensure that all administrative tasks are completed efficiently and effectively.
• Acquire and maintain office furnishing, equipment and supplies
• Ad-hoc duties as assigned

Requirements

• Diploma or Degree in business administration or finance/accountancy/banking or equivalent
• Proven experience in accounting/finance and HR roles
• Strong understanding of financial principles and HR best practices
• Team player with good communication and interpersonal skills
• Take ownership and responsibility and able to work independently
• Proficiency in Microsoft Office
• Ability to manage multiple responsibilities and deadlines
• Knowledge of QuickBooks accounting system would be advantageous

Responsibilities:

Guest Relations:

• Greet and welcome all guests with a smile and cheerful appearance
• Receive and direct them to the respective meeting room
• Assist to make and serve drinks to guests, clients and directors

Requirements:

• Min ‘O’ Level / Higher Nitec
• Preferably candidates with at least 1 year of experience in similar job scope

What to expect As the Senior Executive / Assistant Key Account Manager for the Sales team, you will be in charge of managing retail channels. You will play a key role in helping to accelerate sales revenue by establishing close working relationships with the business partners of the account you are in charge of. At the same time, you will also have the opportunity to better understand the internal workings of the Fast-Moving Consumer Goods (FMCG) industry.

Responsibilities

1. OFFICE ADMINISTRATION

· Oversee the general office administrative function, such as filing, receipt of goods, etc.

· Oversee the maintenance of general office equipment, such as photocopier, projectors and screens, cameras, and track usage by staff.

· Oversee the maintenance of general office facilities, such as security equipment, phone system, air-conditioning, hydroponics system, office furnishings, etc.

· Monitor general office supplies, such as office stationeries, papers, drinking water, pantry items, and re-stock when supply levels are low.

· Ensure that all procurement procedures are transparent and in accordance to the Standard Operating Procedures, before submission to Approving Authority.

· Plan, organise and arrange corporate travel itinerary and meetings, including but not limited to ticket and hotel bookings, visa processing, booking other transportation and other documentations related to the travel.

· Responsible for ED’s working schedule including maintaining diary and keep track of appointment and full spectrum of secretarial support.

· Organise and ensure that ED is well-prepared for meeting,

· Set up, coordinate meetings and take minutes.

3. BOARD ADMINISTRATION

· Arrange and coordinate Board Meetings & AGM.

· Prepare Agenda, take minutes and circulate approved minutes upon approval.

4. IT MANAGEMENT

· Provide IT support including email management, monitoring and backup of servers, installing and configuring hardware, software, network and printers, etc.

· Liaise with IT servicing vendor for all IT related issues.
