Job Description

1. Provide administrative support to the Chartering Department by conducting market surveys and participating in tendering activities.
2. Assist with monthly invoicing and handle ad-hoc charter invoices as needed.
3. Support the accounts payable team by entering data into the Phoenix system for planned maintenance and closely monitoring payments to vendors/suppliers.
4. Compile daily vessel reports for billing purposes.
5. Ensure that vessel trading certificates are kept up to date.
6. Perform additional tasks as assigned.

Requirements

• ‘A’ Level / Diploma qualification.
• Excellent written and verbal communication skills.
• Proficiency in MS Office applications.
• Exceptional Attention to detail
• Candidates with prior secretarial experience in ship management companies or related industries will be given preference.

This role assists to deliver professional and quality services in accordance with financial reporting standards.

The role:

• Handle full spectrum of AP / AR, GL, reconciliations, monthly books closing.
• Prepare financial reports, and schedules accurately and timely.
• Process invoices, payments, staff claims.
• Record sales from client management systems and ensure AR collections are reconciled promptly and accurately.
• Follow up actively with relevant parties on AR/AP Aging to ensure proper and timely closure.
• Manage accruals, prepayments, fixed assets and inventory.
• Prepare GST filings.
• Support internal team in reporting, audits and tax.
• Carry out improvised procedures, implement necessary internal control processes.
• Manage intercompany transactions, inter-group expense recharging, project accounting, etc.
• Liaise with clients and relevant stakeholders for all statutory and regulatory requirements to ensure compliance.
• Involve in new ERP system testing and implementation
• Any other duties as instructed by the supervisor or the management.

The person:

• Accounting Diploma/Degree or equivalent.
• Min 2 years of related working experience.
• Ability to meet deadlines within service level agreements and work independently with a high degree of accuracy and efficiency.
• Self-motivated, meticulous, hands on and proactive team player.
• Good communication and interpersonal skills
• Proficiency in financial software and tools, including Excel.

Key Responsibilities:

Recruitment & Onboarding:

• Screen resumes and coordinate interview schedules with candidates and hiring managers.
• Assist in offer negotiations and issuance of Letters of Appointment (LOA).
• Prepare onboarding documents and support the onboarding process to ensure new hires are effectively integrated into the company

Employee Administration:

• Maintain accurate employee records, including personal information, job history, and performance data.
• Manage employee exit processes, including final salary computations, leave entitlement calculations, and repatriation arrangements.
• Administer employee insurance, address inquiries, and verify monthly medical invoices.
• Manage administrative tasks related to employee performance and warnings.

Compensation & Benefit:

• Process bi-monthly payroll and address salary-related inquiries from employees.
• Prepare confirmation appraisal forms and issue confirmation letters.
• Manage all aspects of work pass applications, renewals, and cancellations.
• Handle all login and leave application issues.
• Attend to audit matters

Training and Development:

• Coordinate training requirements and manage related administrative tasks.

Exit Management:

• Manage the exit clearance process, including conducting exit interviews and processing final settlements.

General Administration:

• Assign and replace access cards, issue staff IDs, visitor passes, and contractor passes.
• Manage IT access including email IDs, MS Windows access, and laptops; maintain accurate records.
• Support company events, including special lunch arrangements and festive decorations.
