As a Procurement & Admin Executive, your role will encompass overseeing the procurement process, managing secretarial duties, and handling various administrative responsibilities to support the efficient operation of the company.

We are seeking an Inventory/Warehouse Assistant to collaborate with the team supervisor and manager in managing the company’s inventory system, ensuring data accuracy and system integrity.

Job Description

1. Data Entry and Inventory Management:

• Ensure prompt and accurate data entry for the receipt, inspection, and issuance of raw and packaging materials.
• Maintain accurate inventory records and perform regular stock counts to ensure accuracy
• Complete daily stock transaction reconciliations to achieve targeted stock accuracy.

2. Customer Returns and Goods Inspection

• Perform Customer Returns checking, recording, and provide disposition
• Participate in the receiving, unloading, and inspection of goods

3. Safety and Compliance:

• Maintain cleanliness and housekeeping of the warehouse area.
• Ensure compliance with safety regulations and standards

4. Additional Tasks

• Assist in other warehousing and/or logistic activities when necessary
• Perform any other ad-hoc duties as assigned by superior from time to time

Requirement:

1. Ability to work in a physically demanding cold store environment.
2. Proficiency in using computer systems, databases, and Microsoft Office applications (Excel & Word).
3. Strong sense of urgency and ability to prioritize workloads effectively.
4. Meticulous, detail-oriented, and well-organized.
5. Excellent communication and interpersonal skills.
6. Effective communication in both English and Mandarin to interact with Mandarin/English-speaking clients and stakeholders.
7. Experience in cold chain management, food safety regulations (HACCP), and inventory control (candidates may be considered for executive roles).
8. Valid forklift license and experience operating a reach truck and pallet jack (added advantages).

Job Responsibilities:

• Review Sales processes and issue new directives if required for the efficient running of these processes
• Review customer’s requests and prepare quotation in response to customer enquiry
• Review contract given by the customer to ensure consistent with requirements quoted
• Identify new market segments and other new growth areas for the company
• Attend Management Review meetings
• Generating and Submitting purchase orders (PO) in accordance with the company policies and procedures
• RFI (request for information), RFQ (request for quotation), RFT (request for tender), RFP (request for proposal)
• Order confirmation and delivery
• Reconciliation: Shipment, Manifest, Back Orders, Short Orders, Damaged/ Defective items.

Requirements:

• Minimum GCE O level
• Minimum of 1 years of work experience as Sales Coordinator or Purchasing Assistant
• Preferred with knowledge of SAP
• Must be detail-oriented and strong organizational skills
• Competence with Microsoft Office
• Good personality and able to handle customer queries

Procurement Manager Responsibilities

Procurement Manager Requirements and skills

• Proven working experience as a Procurement Manager, Procurement Officer or Head of Procurement

• Knowledge of sourcing and procurement techniques as well as a dexterity in “reading” the market

• Talent in negotiations and networking

• Good knowledge of supplier or third party management software

• Aptitude in decision-making and working with numbers

• Experience in collecting and analyzing data

• Strong leadership capabilities

• BSc degree in supply chain management, logistics or business administration

• Reporting and operations

• Overseeing pre- to post-sales support activities for the designated goods and regions while guaranteeing the greatest level of client satisfaction

• Maintain procurement records and documentation.
• Communicate and work very closely with the project team for preparation of the invitation of the request for Proposal and administering of the purchase requisition and award consent with the project team.
• Collaborating with procurement team in day-to-day procurement operation.
• Collaborating with Project Leads in project budget monitoring.
• With experience in auditing and its procedures and compliances.
• With good oral and written command in English and with effective communication skills with all levels and he/she shall be proficient in Microsoft Office Suite including MS Word, Excel and Power Point.

Requirements

• At least 3 years working experience and with either a Diploma or Degree in Engineering, Science, Construction Management.
• With good knowledge and experience in procurement role in the past covers purchasing and associated contractual administration works.
• Positive thinking and with supportive atmosphere amongst the procurement team
• Preferably with those with at least 2 years of experience in water and wastewater or waste to energy industries
• Preferably with those with good knowledge of mechanical works cover fabrication and piping works
