We are seeking a highly organized and detail-oriented Administrative Executive to provide essential support to our Sales & Project teams. The ideal candidate will play a key role in ensuring smooth day-to-day operations across departments.

Key Responsibilities:

• Assist the Sales & Project teams with general administrative tasks.
• Prepare and handle key documents, including purchase orders, delivery orders, sales orders, tax invoices, and more.
• Facilitate communication and coordination of purchase orders both internally and externally.
• Assist with purchasing activities and coordinate delivery schedules with suppliers and customers.
• Organize and compile documentation for project handovers.
• Maintain updated records and databases for team collaboration.
• Provide general administrative support to ensure smooth office operations.
• Manage calendars, appointments, and travel arrangements, including visa applications.
• Handle expense claims, ensuring accurate and timely reimbursements.
• Offer secretarial support for management meetings, including scheduling, taking notes, and tracking action items.
• Organize team bonding activities for the division.
• Handle any additional tasks as assigned.

Requirements:

• Proficiency in MS Office (Word, Excel, PowerPoint).
• Fluent in both English and Mandarin to communicate effectively with diverse clients.
• Excellent interpersonal skills and the ability to engage with individuals professionally.
• Strong organizational skills and attention to detail.
• Capable of working both independently and as part of a team.
• Positive attitude and strong communication skills.

Job Type: Full-time

Salary: $1,800.00 - $2,600.00 per month

Preferred Qualifications:

• Local Polytechnic Diploma
• 1 year of experience in office administration

• Assist in annual operating plans and target for the department.
• Review sales & expenses budgets and evaluate periodically of the performance of the department and takes corrective actions as and when required.
• Working closely with operation department to ensure smooth and timely execution and achieve excellent customer service.
• Conduct market research to identify new business opportunities and market trends.
• Analyze competitors' products, pricing, and strategies to identify opportunities for differentiation.
• Build and maintain strong relationships with existing clients to ensure customer satisfaction and retention.
• Provide excellent customer service, addressing any inquiries or concerns promptly and professionally.
• Negotiate terms and conditions of sales agreements and contracts with clients.
• Communicate with customer for the deployment of machines related issue.
• Ad hoc duties as assigned by the Department Head
