Requirements

• Education: Bachelor’s degree in Business, Engineering, Marine Technology, or a related field.

Job Description

Responsibilities:

• Assist the Operations Managers in maintaining the operations system and processes of various services to effectively support the hospital in delivering its services. The services include but not limited to:

a. Laundry and linen services

b. Food services

c. Bed Management Unit

d. Facilities Management

• Provide general support to the COO on all operational matters pertaining to the services under the purview of Allied Health and Operations.

• Assist therapists in SMF application, order mobility devices, consolidate payment, submit quarterly funding claim and data submission to the Ministry of Health.
• Assist in operating the pandemic and business continuity plans in connection with the hospital-wide response plan in the event such plans need to be activated.
• Participate in quality improvement initiatives and projects.
• Keep track of the expiry and renewal dates of all licenses and accreditation; submit renewal applications.
• Assist the Operations Manager in the co-ordination for the internal and external audits and inspection.
• Arrange meetings and minutes writing.
• Assume other responsibilities relevant to position as delegated from time to time including work relating to the expansion of services and development of new services or new projects.

Requirements:

THE JOB:

1. Maintain current customer base, attend to their sales enquiries timely, ensure all orders are fulfilled to their needs and make product awareness at customers’ visit.

2. Secure customers’ timely market information (such as new projects, follow-up RFQ and negotiations).

3. Foster strong customer relationship to achieve highly profitability and excellent AR collection.

4. Report any quality issues brought up by customers QA team to our Engineers for investigation.

THE PERSON:

A. ACADEMIC

· Degree in Communication Management / Electronics / Electrical / Microelectronics Engineering or any related engineering field

B. PROFICIENCY

· Fluent in the Japanese Language to service and seek existing customers and new markets horizon respectively.

In this role, you will look after our customized learning experiences for GBO promoters. You will work closely with cross-functional partners as well as other Mastery teams including curriculum and business partners to activate, launch and land key programs and deliver a premium experience. Key Responsibility:

• Handle customer enquiries by providing accurate and timely information on products, services, and lead times.
• Register new customers in system and assist in managing existing customer credit limits.
• Prepare and issue quotations for products and services based on customer requirements, and follow up with customers to secure orders.
• Liaise with internal teams to confirm stock availability, coordinate production schedules, and align on lead times.
• Coordinate and confirm delivery schedules with customers, ensuring all logistics are arranged according to agreed timelines.
• Review and process customer orders, ensuring all necessary details are captured for accurate sales order creation.
• Collaborate closely with Operation Lead to synchronize delivery timelines, ensure stock availability, and manage customer expectations.

• Assist in requesting credit block releases and support finance team in ensuring timely payment from customers.
• Provide backup support for sales-related tasks as needed, including customer follow-ups, order tracking, and resolution of any issues that arise.
• Assist with scheduling tasks and help maintain job planner updates for production timelines and service-related jobs.

Requirements:

• 2 to 4 years of relevant experience in customer service, order management, or sales support
• Industry experience in a technical or product-focused environment (e.g., manufacturing, engineering or logistics) is preferred. Candidates without this background will be provided with on-job training and opportunities to develop industry-specific knowledge after hiring.
• Hands-on experience with ERP systems (e.g., SAP) and CRM tools (e.g. Salesforce) for managing customer interactions, order tracking and documentation is highly desired.

RESPONSIBILITIES

Candidates are expected to assist and support the Pilotage Services Department in the following:

• To assist in arranging HOD’s meetings, overseas travel and claims as the HOD’s PA.
• To generate monthly department KPI results graphically for HOD.
• To prepare month-end revenue accrual, monthly sectors revenue/volume-yield/any required operation details reports and pilot utilization slide to Finance.
• To prepare and review daily/monthly/half-yearly Pilotage Operation Movement reports for accuracy and completeness of job data and ensure that all jobs are billed.
• To assist with ad-hoc billing to customers.
• To generate monthly and YTD pilotage service level reports.
• To endorse Purchase Orders for payment to suppliers.
• To submit certified and approved invoices to Finance for payment to suppliers.
• To verify telco invoices and recover costs from staff for any excessive usage (if any).
• To assist with all medical certificate submissions, claims, records and invoices.
• To prepare YTD team-based KPI and other operations records.
• To organise documents for the annual performance appraisal.
