• Admin activities in the procurement workflow to raise purchase requisitions/orders etc
• Admin activities in the receivable/payable workflow e.g raising of invoices, ensure invoices are approved
• Assist project managers in consolidating all billing matters ie clients, subcontractors, vendors
• Project Office Administration
• Maintain project team contact list
• Document filing of electronic documents in accordance with project framework compliant to ISO standard
• Coordinate and liaise with project teams to ensure all project related documentations are in place
• Perform other administrative tasks to assist core team members
• Presales coordinator and support for tender cycle
• Any other ad-hoc duties as required or assigned

What are we looking for?

• Minimum Diploma in IT, Business Administration, Business Studies or equivalent
• At least 3 years of experience in similar job capacity
• Proficient in MS Word, MS Excel, PowerPoint
• Meticulous, detailed-oriented and responsive to follow-ups
• Good Team player
• Effective analytical and problem-solving skills
• Good communication skills, both oral and written
• Self-motivated, proactive and able to work independently

• Adhere to billing processes and assist in daily billing operations.
• Focusing/preparing Export, Import, and local bill invoices for customers.
• Responsible for the timeliness and accuracy of invoices, and adjustments sent to customers.
• Maintaining and updating clients’ databases.
• Updating client’s data into the system (E.g. Change of customer address, email).
• Housekeeping, compiling and maintaining documents and records of all invoices.
• Works closely with cross-functional organizations to respond to customer inquiries to investigate and resolve potential customer billing issues on a timely basis.
• Replying to emails and proactively solving any dispute invoices.
• Improving existing billing procedures to avoid the recurrence of errors.
• Ad-hoc duties assigned by the superior from time to time

Requirements

• Preferably with experience in Logistics/Supply Chain – understanding of incoterms will be an advantage (not a must)
• Computer literacy and proficiency in MS Office (Word, Excel, PowerPoint etc.)
• Meticulous, organized, and proactive.
• Fast learner and able to work under pressure.
• Good working attitude and independence, able to work as a team.
• Possess good interpersonal and communication skills.

Maintaining client relations.
