This role may require managing a team, and assisting the Manager or Director to streamline processes, increase revenue & productivity and enhance staff morale.

KEY RESPONSIBILITIES

• Manage a portfolio of clients by providing full set of corporate secretarial services;

• Ensure compliance with the Companies Act, Listing Rules and other regulatory and statutory requirements; Maintain good relationship with clients;

• Build opportunities for additional services providing to existing clients;

• Assist in maintaining smooth operation of the team;

• Supervise and review subordinates’ work including performance review and progresses

• Assist to monitor & manage the productivity and effectiveness of the team;

• Oversee issuing of invoices and ensuring payments are made;

• Ensure filing deadlines are met;

• Prepares resolutions and correspondences to clients;

• Provide advices to clients on ad hoc matters;

• Reduce debtors’ days;

• Monitor completion of time sheets; Perform other duties as assigned.

JOB SPECIFIC REQUIREMENTS

• Degree holder; member of ICSA;

• Minimum 6 to 8 years’ relevant experience gained from professional firms/CPA firm/law firm ;

• Prior experience in client servicing environment is an advantage;

• Good knowledge of corporate secretarial practises and be familiar with Companies Act and regulations of regulatory bodies;

• Intermediate knowledge of Viewpoint is preferred.

• Excellent command of both spoken and written English.

• Supervise and oversee junior team members and review their work product
• Review and draft compliance documents, frameworks and templates, covering all aspects of regulatory compliance
• Analysing and summarising MAS publications and regulatory updates
• Develop training programs, with opportunities to provide training to clients
• Other ad-hoc duties as required

The Training Operations and Administrative Assistant plays a pivotal role in ensuring the seamless delivery of training programs, efficient administrative processes, and effective project and inbox management. This individual will work closely with the chairman, and sales, \to provide support across multiple functions.

Key Responsibilities

1. Training Program and Operations Preparation

• Coordinate logistics for training sessions, including organizing catering and securing venues.
• Prepare and arrange trainer materials, coordinating with printing vendors as needed.
• Create and manage virtual feedback forms for each class, ensuring trainers receive them promptly.
• Collect, collate, and send feedback reports to trainers and relevant stakeholders after each class.

2. Administrative e-Filing

• Collect and organize participant details from sales teams post-deal closure, ensuring timely submission to the finance department.
• Upload participant details to the virtual badge system to automate the issuance of e-certificates for attendees.
• Regularly update and maintain CRM data on HubSpot, ensuring accuracy and relevance.
• Download, analyze, and forward Mailchimp EDM reports (clicks and opens) to the relevant teams weekly.

3. Project Management and Inbox Management

• Maintain and update the sales dashboard on Monday.com to reflect real-time progress and status.
• Schedule and coordinate weekly sales meetings, including preparing agendas and materials.
• Oversee the sales inbox, ensuring all inbound inquiries are reviewed and directed to the sales team promptly.

Familiarity with Hubspot, Monday.com, MS Office, Mailchimp, Wordpress

· Ensuring that all security staff are trained on policies and procedures including conflict resolution techniques

· Maintaining good relationships with local law enforcement agencies to ensure they can be called upon in case of an emergency

· Interviewing potential employees to determine whether they have the right qualifications and experience for the job

· Ensuring that nightclub security personnel are trained in conflict resolution methods and laws regarding the use of force

· Overseeing the financial operations of the nightclub to ensure compliance with industry standards

· Determining the number of employees needed to run the business efficiently and effectively

· Coordinating the entertainment schedule with the DJ and other staff members, such as security guards or event coordinators

· Overseeing the hiring process for new employees to ensure that they meet all requirements

· Discussing any concerns patrons might have with security staff and resolving issues if possible

• Manage deliverables while ensuring adherence to company and department policies and procedures relating to Client Operations and Transfer Agency such as NAV reporting, investor registration, dealing, investor reporting and cash.
• During Japanese business hours serve as a main contact for daily client inquiries from the client servicing desk at our parent company. Manage these queries to a satisfactory closure, or appropriately handed off to the source team, in line with Japanese client service expectations.
• Handle any sensitive or escalated queries/concerns from Clients, Investors, Fund Managers or internal MUFG Departments following a high-quality standard in line with Japanese clients’ expectations.
• Support Client Operations and Investor Operations teams with their deliverables as per the need.
• Support teams and departments across locations, and direct reports with training and guidance on Japanese client servicing as per the need.  
• Foster a professional environment of encouraging personal and professional development.
• Foster collaboration across business units and regions to ensure we deliver against the highest standards in the industry in terms of Japanese client servicing.
• Support Client Operations and Investor Operations projects, initiatives, and risk mitigation within your team and across teams, encouraging participation, constructive feedback and idea generation from the team members.
