Job Summary

Bacha Coffee is hiring a Customer Service professional to handle all incoming customer inquiries and calls in regard to our Brand, products, and eCommerce orders via Brand.com as well as pure player eCommerce marketplaces.

The role requires knowledge of the online luxury retail business and a solid foundation of quality service standards.

Primary Relationships

The position reports to the eCommerce Manager.

Within the organisation, this position has primary working relationships with the eCommerce team, IT and Warehouse teams, as well as staff with similar positions within partner and franchise organisations.

Outside the organisation, the position coordinates primarily with vendors and service providers (marketplace enablers, third-part logistics providers etc.) as well as customers from online and social media platforms.

Responsibilities

• Manage engagement with customers to ensure care is taken to uphold the best standards of service including response time, quality of replies, follow up, etc.
• Handle all incoming calls and customer inquiries via Brand.com and any other channels, responding in a professional manner, and helping customers to resolve their issues. Ensuring that queries are replied within 1 business day.

• Assist in developing and implementing customer service policies, procedures and standards to ensure that Bacha Coffee’s standards and quality are consistently upheld.
• Monitor response times, customer recovery standards, ensuring that targets and KPIs are met.
• Coordinate and communicate with internal teams, including the digital warehouse, to ensure that customer queries and issues are resolved promptly, with quality.
• Utilise customer care systems or other tools to follow up, close cases, and proactively outreach to customers when required.

Requirements

• Minimum 3 – 5 years of working experience in a customer service role.
• At least 2 years of working experience in online D2C.
• At least 2 years of experience operating pure player marketplace backend systems.
• Strong communication and interpersonal skills, with an excellent command of English
• Meticulous, adaptable, possess an eye for detail and the ability to work independently in a fast-paced environment.
• Proficient with MS Office applications.

Giro Deduction and Administration Responsibilities:

• Keep good record of all GIRO documents and filing
• Collaborate with internal departments for vendor registration form submission and other forms as required by clients
• Proactively follow-up with corporate clients and relevant departments to ensure GIRO application is successful
• Generate and maintain deduction schedules using the latest data and approved lists.
• Enter GIRO deductions into the bank portal for each corporate client.
• Prepare and provide deduction details in a format suitable for robotic process automation (RPA) for monthly application in the system.
• Send deduction breakdowns to corporate clients.
• Ensure all GIRO deductions are correctly applied in the system.
• Monitor and resolve discrepancies in GIRO deductions, addressing over-deductions or under-deductions due to corporate cap limits.

Refund Administration Responsibilities:

• Verify refund lists against system records to ensure accuracy and check for outstanding balances before processing refunds.
• Apply refund transactions in the system.
• Correct discrepancies in credit notes by issuing debit notes and creating accurate credit notes.

Admin fee payment responsibilities:

• Populate admin fees based on approved listing provided by operation team
• Collaborate with relevant departments to ensure data is accurate and up-to-date
• Process admin fee payments in a timely and accurate manner
• Verify payment details and ensure all transactions are correctly recorded in financial systems
• Resolve any discrepancies or issues related to admin fee payments promptly
• Preparation and sending of payment advice with accurate breakdowns to clinics for admin fee payments made

Other responsibilities

• Accounts Receivable receipts application into financial systems based on payment advices provided by corporate clients

You will provide support and insights for DCS core multi-omics research and big data analysis computing infrastructure that focus on using next-generation sequencing (NGS), radiological imaging and other multi-modal datatypes to develop biomarkers predictive of clinical responses in cancer patients. You will be expected to wrangle and optimise large datasets and execute complex parallel computational pipelines to better understand the complexity of cancer progression and treatment resistance across multiple cancer types.

Key Responsibilities:

- IT Infrastructure Design: Develop strategic IT infrastructure plans (hardware, software and network) that ensures scalability, security, and performance.

- IT Infrastructure Procurement: Source and liaise with vendors in procurement of the IT infrastructure to support the team's expansion needs.

- IT Infrastructure Maintenance: Monitor system performance, identify and resolve bottlenecks or issues, ensuring minimal downtime. Apply software updates and patches. Backup data to prevent data loss.

- Data Integration and ETL: Design, implement and maintain data processing pipelines for ingesting, transforming, and loading data from various sources. Implement and optimise ETL processes for efficiency and reliability.

- Security and Compliance: Define computing resources and data access controls, encryption, and authentication mechanisms. Ensure compliance with data privacy regulations (e.g., GDPR, PDPA, APAC Data Laws etc.) and organisation structures.

- Collaboration: Work closely with Principal Investigator, Clinicians, Data Scientists, Researchers and stakeholders to understand data requirements. Collaborate with other IT team members to support data initiatives and maintain a consistent, high-quality data delivery architecture across projects.

Job Requirements:

- Bachelors degree or higher in a relevant STEM discipline.

- Knowledge of production data pipelines, especially in a bioinformatics or clinical healthcare setting.

- Familiarity with Linux or other Unix flavours, preferably as an administrator/superuser and server maintenance.

- Familiarity with data security and access control measures.

- Strong programming expertise in at least one major language (e.g. Bash, Python, R, C/++, Rust).

- A keenness in incrementally designing, building and testing software components to ensure correct end-to-end running of primary production pipelines.
