Job Summary

The Project Executive will support the Project Manager and team members in organizing and executing various projects. This role involves multi-tasking including administrative support, SOPS development, communication, and documentation management. The ideal candidate is adaptable, detail-oriented, organized, and has excellent communication skills.

Role and Responsibilities

a. Administrative Support

· Assist in the preparation of project reports, presentations, and other relevant documentation as required.

· Ensure documentation in SharePoint is updated and disseminated in a timely organized manner

· Schedule meetings, prepare agendas, and take meeting minutes.

· Coordinate project activities and ensure all relevant information is up to date.

b. Communication

· Serve as a point of contact for project teams and all internal and external stakeholders.

· Communicate project updates and progress reports to the team.

· Manage correspondence via emails, phone calls and face-to-face meetings

c. Documentation & Record Keeping

· Maintain comprehensive project documentation, plans, and reports.

· Organize and archive project documents and materials.

d. Project Coordination

· Assist in monitoring project schedules and deadlines.

· Help manage project budgets and track expenses.

· Coordinate and support on-site and off-site project activities and events.

e. Problem Solving

· Identify potential issues or risks and escalate them to the Project Manager.

· Assist in developing and implementing solutions to address project challenges

f. Financials

· Assist with budget tracking and expense reporting.

· Ensure that financial records are maintained in an organized manner.

g. General Support

· Conduct research as required for project development.

· Provide general administrative support to project managers and teams.

• Update Whatsapp group to include fleet job schedule list

• Scanning of PODs collected for the day upon receipt
• Updating fleet outlay, to match actual expenses from petty cash book and to ensure original/copies provided for CFS receipts, carpark receipts, and misc expenditure receipts.

Customer service

• Taking note of and replying/following up with customer emails with regards to POD, urgent jobs, upcoming jobs, driver details, necessary job requirements, delivery time, etc.
• Answering calls from customers with regards to similar as above.
• Follow-up with job schedule for special arrangement jobs

Fleet assistant

• Supporting controller with distributing job files, to assist Controller in case Controller is out of office.
• Supporting controller with updating of next day/upcoming jobs/KD clearance on Job sheet.
• Daily Checking of Emails and follow-up with select customers on daily clearance and damages accordingly including next-day delivery arrangements for bookings.
• Coordinating and communicating with the controller on customer queries/urgent queries/necessary requirements/missing documents/upcoming jobs.
• Coordinating and communicating with controller and/or driver with regards to clearance and unstuffing status for kd clearance and follow-up for next delivery arrangement.
• Coordinating and communicating with controller/driver and customer with regards to job completion status/follow-up of pending documents

Responsibilities

· Ensure the factory’s operation is running smoothly and log down any issues and troubleshoot whenever possible
