1. Invoice Management:Ensure all trade invoices are received, verified, and posted in the Accounts Payable (AP) system.
   Confirm submission and accuracy of invoices from Buying Admin Department and stores.
   
2. Reconciliation:Reconcile store takings and validate various payment settlements (cash, NETS, Visa/MasterCard, Amex, etc.) to the bank statement.
   Highlight discrepancies and unusual transactions to CFO/CEO.
   
3. Tax Compliance:Obtain proper tax invoices for GST-subject local expenses and address any discrepancies.
   
4. Approval and Documentation:Ensure non-trade invoices are approved by authorized managers before posting.
   Maintain accurate filing of all documentation (cloud or hard copy).
   
5. Petty Cash Management:Ensure complete documentation for store petty cash disbursements.
   Follow up on missing documentation with Store Managers.
   

Qualifications:

• Attention to detail
• Strong analytical and problem-solving skills
• Proficiency in accounting software and Excel
• Excellent communication and organizational skills

This role ensures accurate financial processing, compliance, and effective coordination with various departments to maintain financial integrity.

• Handling of AP, AR & GL functions
• Assist in updating records and data via Excel and accounting software
• Process month-end closing activities, quarterly GST submission
• Performing thorough bank reconciliations to ensure accuracy in financial reports
• Prepare for monthly general ledger journal and closing activities.
• Perform Draft Financial Statement
• Assist in external audit matters
• Process company insurance policies and license renewal
• Assist with any other assigned administrative duties as required.

Job Descriptions:

1. Accounts Management

• Handling full set of accounts for multiple companies

• Performing thorough bank reconciliations to ensure accuracy in financial reports

2. Reporting and Analysis

• Performing monthly and yearly financial reports of the Company including but not limited to P&L Statement, Balance Sheet, GST submission, Summaries of Accounts and etc.

• Conduct detailed financial analysis to support strategic decision making

3. Cash Flow Management

• Manage and optimize cash flow to meet operational needs

• Overseeing payment transactions and updates

• Ensuring timely and accurate processing of payment

• Monitor banking activities and ensure adequate liquidity

4. Budgeting and Forecasting

• Prepare budgets and financial forecast quarterly and annually

• Monitor budget performance, analyze variances and recommend adjustments

5. Collaboration and Support

• Collaborating closely with internal teams such as Sales, Administration and other stakeholders to ensure a cohesive financial strategy.

• Liaising with external bankers, tax agents and vendors

• Assisting in CRM progress

Requirements:

• Diploma/Bachelor's Degree in Accounting & Finance or related fields

• Strong analytical and problem-solving skills

• Good communication and interpersonal skills

• Able to work independently and as a team work

• Strong attention to detail and accuracy

• Able to communicate in both English and Chinese (in order to liaise with English and Mandarin-speaking associates)
