The Reservations Group Coordinator is responsible for coordinating and managing group reservations and crews. He/she will ensure smooth operations and exceptional guest experiences by efficiently handling group bookings and coordinating with various departments within the hotel.
Group Reservation Management:
- Receive and process group reservation inquiries from various sources, such as travel agencies, corporate clients, and crew.
- Ensure group enquiries are promptly entered into PMS
- Key personnel handing crew bookings; prompt and efficient handling of crew emails
- Ensure group status are promptly updated with option date and cut-off properly followed-up with Sales
- Maintain accurate and up-to-date records of all group bookings, including room blocks and any special requirements or requests.
- Provide excellent customer service to group organizers and clients, addressing their queries, concerns, and special requests promptly and professionally.
- Collaborate with the sales and marketing teams to ensure group bookings align with overall business objectives and occupancy targets.
- Manage group inventory and ensure no hanging blocks once cut-off date is over
- Liaise with various departments, such as front desk, housekeeping and sales, to ensure seamless communication on group requirements.
- Ensure proper billing procedures are followed for group bookings, coordinating with the finance department as needed.
- Utilize PMS to manage group bookings efficiently, making updates and adjustments as necessary.
- Generate regular reports on group reservation metrics, including conversion rates, revenue generated, and occupancy levels.
- Performs other reservation duties as assigned by Reservations Manager
