Job Description:

The Admin Executive is a member of the Corporate Services Dept team that is required in performing office administration duties at HQ level for the preschools under HQ to ensure that policies, data etc are regularly updated and accurate in order for operations to function smoothly. Responsible for the full spectrum of HR & Admin function in recruitment, training, payroll, compensation and benefit and other HR administrative duties and basic Secretarial work.

Administration:

Job Summary

Proactively manage the order to remittance (OTR) from a project finance perspective and partner the Operations teams to forecast and advise on projects financial position and performance. Support key Finance functions, including FP&A, Controllership to ensure the fair and accurate reporting of financials for project portfolio across multiple countries in Asia Pacific.

Essential Responsibilities

Projects Finance OTR Analyst has an overall responsibility to manage his/her portfolio of projects in ensuring project Financials (reporting, controlling, coordinating) after tender phase till contract closure, focusing on transparency, accuracy, efficiency of the project working capital, margin, and cash.

• Have full knowledge, monitoring and control over financial movements from order booking, revenue recognition, margin recognition, billings, and cash flow. Further, to ensure that such information is consistent, approved and reconciled in the required ERP systems, consolidate, validate, forecast, and alert potential risk exposures promptly and proactively as identified.
• Lead the Project Financial summary (Project cost summary sheet, cash curve, sales, and billing plans) for Project Review agreed by Project Managers. Consolidate project Financials and understand each project’s financial movements and present the financial section during project reviews with regional and headquarter team.
• Manage the revenue recognition plan at project start and the billing plan (invoice and progress payments), consolidate, validate, and forecast sales and billing milestones with Operations teams to ensure consistent consolidated revenue recognition and cash collection. Track receivable overdue status, alert, and ensure that follow-up action plan is in place.
• Manage foreign exchange risk efficiently through the project life on a timely basis. Ensure hedging is in place based on projects cashflow status. Coordinate with commercial and procurement team to proactively identify potential embedded derivatives exposure, monitor existing exposure's evolvement.
• Proactively validate, control, and monitor movements of actuals, planned/ committed costs, identify and communicate overruns, support root cause analysis, interface and highlight issues to Project Managers to ensure that Costs at Completion are aligned with project assumptions.
• Perform monthly closing and ensure the project's backlog and adjustment is correctly reported for units within his/her project's portfolio.
• Proactively scrutinize and challenge Operations team to identify and provide input on sales, margin, LD provisions and claims valuation.
• Implement robust op mechs to drive accountability covering all KPIs including NPI, Capex, Inventory, PMR, Bonds and Guarantees, Past dues.
• Lead Finance initiatives and champion the usage of new tools within the organization.Support internal and external auditor based on project sampling results collaborating with Controllership.
• Ensure enforcement of policies within his/her projects portfolio, including Golden Management Rules, warranty policies, and any other policy changes issued by HQ.

Required qualifications

• Minimum 3 years of experience in Project accounting/ Financial Reporting experience in Project accounting/ Financial Reporting
• Proficiency in SAP (PS, SD modules) is a must
• Proficiency in Microsoft Excel, Word, PowerPoint
• Good track record of collaborating in cross-functional teams and achieving financial objectives

Job Description

• Follow up with Corporate customers on collections & payment matters, including supporting customer queries & dispute resolution, arrange refunds for terminated accounts or offsets against other active billing accounts
• Send payment reminder, letter of demand, arrange termination of service & debt recovery actions
• Conduct credit assessment for approval of sales orders & services
• Review & approve payment extension & instalment requests
• Handle payment allocation & reconciliation

Qualifications

• At least 4 years of credit and collection experience

• Advanced skills in MS Office applications and experience in SAP AR module is highly preferred

Assisting the Finance Manager in the following activities:

Banking:
1. Co-coordinating with Bank for renewal of Credit facilities / other banking matters
2. Liaising with banks for Opening/closing bank accounts of Sunrise & Co (including group Companies) and execution of documentation for credit facilities.
3. Preparation and Reconciliation of the Bank's outstanding position at the group level on a monthly basis.
4. Tracking of FX Position based on reports submitted by KL, Indonesia & India
5. Set up online Internet Banking

Insurance:
1. Tracking of all insurance policies ( General, Medical , Vehicles, Road tax and properties), coordinating with Insurance agents and timely renewals of Insurance policies

Investments:
1. Tracking of final maturity (including interest payments) of various investment products such as Bonds, Structured Deposits & FDs, and interest cost for leveraged products.
2. Preparation of fund transfer/ FD creation letters and co-ordination with Banks for transfer of funds
3. Opening/closing of Investment bank accounts at various locations

Others:
1.Co-ordination with Regional offices for execution of documents at head office
2. Maintenance of Property records including liaison with local service provider for upkeep of overseas properties
3. Maintenance of Company Records including Shareholding pattern, List of Directors, Share certificates and other documents relating to the group Companies
4. Perform other duties as assigned


Requirements:
1.Bachelor’s degree in Accountancy or related field
2. Candidates with prior experience in handling Bank matters will be preferred.
3. Minimum 3 to 4 years’ experience
4. Must be proficient in MS Excel

Finance Analyst Associate, DSO (6-Months Contract)

(Renewable Contract)

Location: North, Accessible from Yio Chu Kang MRT

Working Hours: 8:30am - 6 pm (5 days work week)

Job Description:

• Prepare and perform monthly financial analysis on Direct Sales Margins. Present and provide explanations on variances and ensure that irregularities are adjusted and addressed promptly before month-end close
• Execute policies, procedures and processes for inventory management and perform a key role in inventory counts
• Prepare and perform journal entries in SAP, prepare inventory management reports and schedules
• Review balance sheet schedules and highlight long outstanding balances and other irregularities to process owners for resolutions
• Assist Finance Manager to implement changes to financial accounting/governance processes for inventories, including automation
• Assist Finance Manager to review Systems Access Rights to ensure proper segregation of duties
• Assist Finance Manager with monthly and quarterly staff costs reporting to management

Requirements:

• Degree/Diploma in Accounting with at least 2 - 5 years of relevant working experience
• Hands-on experience with SAP system is preferred
• Proficient in MS-Excel
