In this role, you will closely work and support the Office Manager by leading smooth daily office operations. Additionally, you will perform a variety of day-to-day administrative tasks and oversee a full spectrum of internal and external events, purchases, and inventory.
Your key responsibilities will be to:
- Perform clerical tasks, receive guests, manage office pantry, and maintain office cleanliness and supplies. Coordinate with office cleaners and ensure proper maintenance of office fixtures and furniture.
- Source vendors, negotiate contracts, and oversee procurement processes. Track and record orders, handle vendor transactions, coordinate payments, and manage documentation.
- Assist employees with inquiries, coordinate onboarding and exit processes, update and maintain employee records, and manage annual leave and expense claims.
- Plan and implement company events, meetings, and conferences.
- Coordinate staff travel arrangements, including visa applications, flights, and accommodations.
- Handle IT requisitions, set up and troubleshoot laptops, manage IT inventory, assist with finance tasks such as depositing cheques and submitting invoices, and support project tenders by completing and organizing tender documents.

On top of that, you will have:
- At least an "O" level, ITE, or Polytechnic qualification with 1-2 years of working experience, preferably within a civil or structural engineering firm or consultancy.
- Advanced verbal communication skills and proficiency in written and spoken English and Chinese (preferred).
- Time-management and multitasking abilities, meticulous attention to detail, and a proactive, positive attitude towards tight deadlines.
- Proficiency with office applications and a willingness to learn new software and systems.
- Ability to plan, coordinate, and complete tasks efficiently.
- Sensitivity, understanding, versatility, openness to change, and the ability to maintain confidentiality of company information.
- Good knowledge of the local Employment Act and Regulations (preferred).
