In this role, you will be responsible for:

Responsibilities:

Job Responsibilities:

Primary responsibility – Change Management

Lead the change management process when new initiatives, systems, or processes are implemented in an organization. This involves planning, communicating, training, and supporting employees through the change.

1. Conduct change impact assessments to identify how proposed changes will impact current people, processes, and technology.
2. Develop change management strategies and plans to mitigate risks, address impacts, and ensure smooth adoption of changes.
3. Design and deliver training programs to equip employees with the knowledge and skills to adopt changes.
4. Document and disseminate change communications to inform and engage employees throughout the process.
5. Monitor change progress and gather feedback from stakeholders to identify adoption issues and resistance.
6. Modify change plans as needed and take corrective actions to keep implementation on track.
7. Report on change management metrics like training completion, user adoption, productivity impacts etc. to leadership.
8. Build relationships with change sponsors, project teams, managers and end-users to facilitate the change.
9. Provide coaching and counselling to employees to support them through the change journey.

Secondary responsibility : Release management

1. Maintain release documentation including planning documents, release notes, configuration details etc.
2. Monitor release processes and track progress using tools like release dashboards. Identify risks or issues proactively.
3. Ensure compliance with release processes, checkpoints, quality gates and entry/exit criteria through each stage.
4. Continuously improve release management processes by analysing metrics, incorporating best practices and automating manual tasks.
5. Conduct post release reviews and create reports on release performance, quality, metrics etc. for future improvements.

Tertiary responsibility: Tableau Dashboard Admin

1. Manage user access and permissions for Tableau dashboards and the corresponding data sources, ensuring data security and compliance.
2. Monitor the usage and performance of Tableau Dashboards.
3. Generate and distribute regular reports on dashboard usage. Performance metrics, and user feedback.
4. Recommend and implement improvements on monitoring and reporting insights.
5. Provide support to Tableau users, including troubleshooting issues and answering queries.

Other details :

• Same person to do these with max time spent on primary responsibility. Rest of the time spent on secondary & tertiary responsibilities.
• No shift work but there may be some weekends support required. With appropriate comp off.

Key Accountabilities:

• Manage the order with internal department (sales / sales engineering / finance / aftersales / logistics), factories, suppliers and contractors till contract fulfilment, limited to supporting back end non-technical work requirements.
• Create shared folder order file in L drive once Sales has handed over new sales order complete with SOF.
• Create engine PO to factory in SAP (MS5).
• Execute orders in line with contractual agreements, adhering to the scope of deliveries, delivery dates and costs.
• Liaise with finance for issuance of downpayment / stage payment, Bank Guarantee / Performance Guarantee depends on the contract agreed payment terms.
• Create batch no, engine / genset serial no in SAP to facilitate goods receipt GR for engines coming into Singapore warehouse and liaise with warehouse for physical goods receipt.
• Supports to coordinate on goods movements and perform Goods Receipt GR of 3rd party PO upon goods delivered (Sales engineers to raise PR to central purchasing department and manage PO with central purchasing for timely delivery).
• Chase for secured payment prior to delivery (TT, LC, etc); Sales to assist where requested in case of delay from customer.
• Chase and issue shipping instructions.
• Liaise with customer on shipment.
• Liaise with factory for dispatch / shipment to Singapore.
• Verify delivery notes that all accessories are in order.
• Verify invoices from factories and forwarders.

Accounts Executive (GL)

Location: Paya Lebar (able to work from home 3 days a week)

Working days: Monday to Friday

Working hours: 9am to 6pm

Responsible for all sales in stores and non-stores:

• Conduct daily sales reconciliations to guarantee accurate recording of all store transactions.
• Execute daily cash reconciliations and prepare the necessary entries to confirm that clearing accounts are properly cleared.
• Provide weekly sales reports to the Group.

Trade receivables:

• Issue and process trade invoices and credit notes for B2B sales.
• Manage customer reconciliations for B2B sales.
• Oversee the cash collection process for B2B sales.

Promotions:

• In charge of uploading promotions and discounts to POS system, timely and accurately.

Tender types:

• Responsible for all tenders relating to sales (including credit card, cash, vouchers, QR code-based payments), as well as related hardware (payment terminals, etc);
• Maintenance of relationship with tender providers and related hardware providers.

Bank Statements:

• Daily download of bank statements and allocation of bank transactions to other finance staff based on category.
• Recording of banking entries in Navision.

New store opening:
