Job Description

We are seeking a highly organized and efficient Executive Assistant to provide comprehensive support to our CEO. The ideal candidate will have a proven track record of managing executive schedules, handling complex administrative tasks, and facilitating efficient communication between top executives and internal departments.

Key Responsibilities

• Manage and coordinate the CEO’s schedule, including meetings, travel arrangements, and other appointments.
• Serve as the primary point of contact between the CEO and internal teams as well as external partners.

Responsibilities

• Handle confidential documents and communications with discretion.
• Prepare and edit correspondence, communications, presentations, and other documents.
• Manage and facilitate internal and external communications, often handling complex and confidential details.
• Facilitate smooth communications between the executive office and other stakeholders, ensuring timely delivery of information.
• Assist in the preparation for meetings and accurately record minutes from sessions.
• Conduct research, assemble data, and prepare papers for consideration and presentation by executives.
• Make travel arrangements and prepare detailed travel itineraries.
• Aid in the management of projects directly related to the CEO’s office.

Required Skills

• Proven experience as an executive assistant or in other secretarial positions.
• Full comprehension of office management systems and procedures.
• Excellent knowledge of MS Office, especially Excel and PowerPoint.
• High level of discretion and confidentiality.
• Exemplary planning and time management skills.
• Ability to multitask and prioritize daily workload.
• High level interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners.
• Exceptional written and verbal communication skills.

Responsibilities:

• Communicate and work closely with lawyers and speakers to make logistical arrangements for in-house and external events and ensure smooth delivery of high quality training and client events
• Handle general enquiries and registration for events details
• Manage pre and post-event publicity, including write-ups, digital content materials, publications and other administrative tasks
• Collaborate with universities and external partners to conduct joint projects and events
• Familiar with the training schemes and incentives available for lawyers and staff, including SILE CPD Requirements and WSQ/WDA schemes
• General administrative support for the department’s work

Requirements:

• Minimum Diploma in Business Administration, Management, Mass Communication or equivalent
• Good command of written and verbal English
