Key Responsibilities

• Support administrative matters for the Project Sales, Service Sales and Marketing Team.
• Manage incoming sales calls/ emails and handle lead administration.
• Source new leads from tender portals and compile, create, and submit tender documents.
• Help with the preparation of quotations and proposals.
• Prepare maintenance contracts for renewal notices, and service sales reports to monitor contract renewals.
• Help in the development of marketing materials.
• Assist in marketing projects and event coordination.
• Support the Head of Operations and Managing Director with all other administrative tasks.
• Match supplier invoices with related documents and input them into the system.
• Perform ad-hoc duties as assigned.

• Assist the Sales Engineer / Sales Manager to achieve the annual sales target
• Assist the Sales Engineer / Sales Manager with the preparation of monthly sales reports
• Engage customers to secure orders and arrange for on time delivery
• Prepare quotations for customers using the ERP System and ensure accurate pricing of products
• Process sale orders, production orders, pick lists and purchase orders in the ERP system accurately and in a timely manner
• Monitor and plan product inventory levels, liaise with suppliers for timely supply/replenishment of inventory
• Work with suppliers to resolve any quality issue with their products or short delivery issues
• Liaise with Logistics personnel on stock and delivery issues
• Liaise with Production personnel on production and quality issues
• Monitor customers’ accounts receivables and pursue overdue balances owed by customers; follow up with customers to maintain timely collection of accounts receivables
• Assist with any other tasks assigned by the Sales Engineer / Sales Manager
• Perform ad hoc receptionist duties (including greeting visitors, transferring calls, taking and ensuring messages are passed to the appropriate staff member on a timely basis)
• Perform ad hoc administration duties

Requirements:

• Candidate must be willing to work in Tuas
• Knowledge in SAP is an added advantage

The Sales Admin Assistant is responsible for supporting the sales team by managing order fulfilment processes, maintain customer relationships, and ensuring accurate documentation. This role plays a critical part in enhancing customer satisfaction and operational efficiency.

Key Responsibilities

• Oversee the accurate and timely processing of sales orders, discounts and return documentation
• Maintain and update customer listings in the system to ensure accuracy
• Understand customer needs and provide assistance throughout the order fulfilment process
• Build and maintain strong key account relationships, actively engage with customers to offer tailored support
• Handle customer inquiries, providing solutions and gathering feedback to the Sales Team and other relevant functions
• Update inventory levels or sales related document to customer ERP portal
• Provide assistance in ongoing review records and information to determine effectiveness of work process and procedures
