Department: General Secretary's Office (GSO)

Reports to: General Secretary’s Office Manager/Director

Overall responsibilities

As part of the General Secretary’s Office, provide broad spectrum support to the General Secretary/CEO and the Bible Society as a whole. This includes various community relations and liaison functions, administrative and secretarial support, governance and compliance, as well as supporting other special projects and strategic initiatives as required.

You will work closely with executive leadership and across various departments to ensure key deliverables and the Bible Society’s strategic objectives are fulfilled. This role requires a meaningful understanding of our mission strategy and operations, excellent analytical skills, and the ability to work with cross-functional teams.

Key Areas of Responsibility

1. Community Relations and Liaison

• Represent the Bible Society in external engagements with agencies, churches, and strategic partners.
• Prepare and disseminate critical information to internal and external stakeholders
• Manage and develop the volunteers’ and internship programmes – Sowers-in-Action (SIA)
• Engage in outreach and community relations activities with churches and other Christian organisations, including establishing local SIA chapters
• Develop and implement strategies to communicate the Bible Mission effectively and to enhance the Bible Society’s branding

2. Administrative and Secretarial Support

• Provide general administrative support to the General Secretary/CEO and the Bible Society, including organising meetings and preparing reports for internal and external stakeholders
• Proactively track, file, archive and retrieve key business information for future reference, including contracts and business documents

3. Governance and Compliance

• Coordinate internal processes involving other departments for reviews, evaluations and escalations, not limited to implementing new processes and documentation to improve workflow, governance, and compliance
• Ensure compliance to Singapore regulations, laws and statutory requirements, and responding to local authorities when necessary
• Work with the Data Protection Officer to ensure whole Bible Society compliance to the Personal Data Protection Act (PDPA)
• Support the Board in their role to ensure governance and oversight of the Bible Society
• Work with the Board and Management to produce Business Continuity and Risk Management plans
• Facilitate internal communications to disseminate policies and directives to other departments and business units

4. Strategic Initiatives and Operations

• Work closely with all internal departments and coordinate activities to ensure activities meet the strategic objectives of the Bible Society
• Monitor the progress of key assignments as directed by the General Secretary/CEO, following up with relevant parties when necessary
• Support the Bible Society’s fundraising efforts including exploring alternative sources of funding and grants
• Develop strategic plans and initiatives that enhance the Bible Society’s capability, capacity and productivity
• Conduct sector research and trend assessments to identify opportunities and assess how data could be relevant to enhance the Bible Society’s programmes and operations
• Any other duties as assigned by the General Secretary/ CEO

Timetable and Systems Officer

The Timetable and Systems Officer (TSO) is directly responsible for the timetabling provision for all academic departments at GESS. They will work in continuous collaboration with Directors, Deputies, the Head of the Cross-Curricular Activities (CCA), and other managers to ensure the delivery of efficient and effective timetables. The TSO will organise the collation of data with each allocated school/department during the key planning and data collection cycles to ensure they have the most up-to-date data on teaching spaces, capacity, locations, and availability. Additionally, the TSO will support the school’s cover planning requirements by coordinating teacher and staff cover, ensuring minimal disruption to teaching and learning when absences occur.

The position is full-time and campus-based.

Main responsibilities

· Responsible for the timetabling and cover provision for allocated departments.

· Work in continuous collaboration with departments to ensure the delivery of efficient and effective timetables.

· Allocate available rooms and resources appropriately and efficiently to ensure the best allocation of space, level of service and advice is provided.

The Position

II. Overview of Function

The mission of the Philanthropy team is to contribute significant, sustainable levels of philanthropic funding to support the local (Singapore-based) and regional (SEA-based) conservation, sustainability and education programmes in order to advance WWF-Singapore’s mission. The team works closely with the CEO and Board of Directors to assist in the implementation of WWF-Singapore’s philanthropy strategy.

The Philanthropy Development and Stewardship Officer is expected to raise substantial funds from granting organizations including trusts, foundations and government agencies, mid-value and major donors, as well as build effective relationships with various stakeholders. The role is also responsible for the effective stewardship of current donors and supporters. This involves overseeing the stewardship activities to retain and cultivate ongoing relationships. Working collaboratively with the Head of Philanthropy, the Philanthropy Development and Stewardship Executive conducts research on potential prospects, analyses and manages the database of donors and prospects, provides bespoke support for donors and organises bespoke events, trips and activities.

IV. Major Duties and Responsibilities:

Major Gifts Development (30%)

● Work with the Head of Philanthropy to develop and execute an annual FR strategy to solicit individual gifts and raise funds from foundations, major donors and other grantmaking organisations

● Work with the Head of Philanthropy to design effective budget models and be accountable for achievement of income targets; ensure project implementation and expenditure of funds is achieved within contractual milestones

● Effectively manage the donor cycle by developing and managing donor list and prospect pipeline, reporting, developing engagement and grant application plans, and capturing all activity within the CRM system

● Research and write grants; provide timely reporting and ensure compliance as required with grant awards

Stewardship (30%)

● Works closely with the Head of Philanthropy and the Stewardship Manager to develop an effective plan for engagement and donor stewardship activities. Examples include regular check in with donors, sharing relevant news and updates on programmes, editing impact reports, and other activities as required to increase their affinity to WWF and grow their support

● Designs and produces engaging and inspiring communication strategies and materials for major donors to communicate the progress and impact of programmes; using existing materials where possible and aligning communications with the wider Partnerships team.

● Liaise with relevant teams (e.g. country field teams, WWF-SG conservation, finance) to collate information, fact check and seek clarification to ensure the info provided is accurate and up-to-date. ● Designs and manages bespoke, segmented and mass digital communications to UHNWls, VIPs, board members, including newsletters, event invitations and registrations via Active Campaign, EventBrite or similar software

Due Diligence and Research (15%)

● Works with the Head of Philanthropy to fulfill requirements of internal due diligence processes including software and database management

● Conducts prospective major donor, trusts and foundations, multilateral grants and board of directors research including profiling and preparing of bios

● Assists in research and preparation of briefing documents for HNWIs, VIPs, the government, and other stakeholders

Data Management and Administrative Support (15%)

● Ensures the integrity of the donor database / CRM, and generates associated reports, such as the HNWI prospect pipeline, philanthropy income and major donor projects. Requires collaboration with Finance and CRM teams

● Maintain an accurate database of contacts on Active Campaign for mass/segmented communications.

● Oversee the process of signing gift agreements and no-cost extensions, seeking internal approval and legal advice as appropriate.

Required Qualifications
