Skills and Competencies

· Candidates with experience in Manufacturing/Industrial Engineering/Metrology Equipment industry would be preferred.

· Candidates with experience in either Product Classification, Customs Regulations and Singapore Strategic Goods Control Act would be advantageous.

· At least 2-4 years of relevant experience is required for this role.

Job Title: Operations Executive

Location: Yishun Innova Junior College (YIJC), Singapore

Reporting to: Operations Manager

Work Hours:

• Mondays to Thursdays: 7.30am to 5.00pm (inclusive of 1-hour lunch break)
• Fridays: 7.30am to 4.30pm (inclusive of 1-hour lunch break)
• No service required on Saturdays, Sundays, and gazetted public holidays. However, flexibility to adjust working hours based on the college's needs is expected.

Objective:The Operations Executive will play a pivotal role in supporting the efficient functioning of Yishun Innova Junior College by overseeing various operational and administrative tasks. This role requires a highly organized individual with strong communication skills and a proactive approach to ensure the smooth execution of school improvement works and daily administrative operations.

Key Responsibilities:

1. School Improvement Works:

• Coordinate closely with contractors to minimize disruptions to school operations during improvement projects.
• Attend site discussions and operations meetings to represent the college's interests.
• Monitor site workers to ensure adherence to safety and security protocols.
• Conduct regular inspections of work progress and provide feedback to school management.
• Follow up diligently on rectifications of defects to maintain high standards.
  

1. Administration:

• Perform various administrative tasks, including documentation and record-keeping.
• Ensure proper storage and organization of project files and documents for easy retrieval.
• Track and monitor the payment status of completed projects and improvement works.
  

1. Others:

• Manage and operate school communication systems such as the Public Announcement System and Audio-Visual System.
• Assist the Operations Manager in overseeing estate management, including maintenance and cleanliness.
• Maintain the security and safety of school premises and property.
• Flexibly handle any other duties assigned by the management to support operational needs.
  

Qualifications, Skills & Experience:

• Preferably, a minimum of 3 years of experience in a related field, demonstrating competence in operational and administrative roles.
• Diploma in Facilities Management, Project Management, Engineering, or related courses would be advantageous.
• Proficiency in MS Word, Excel, and PowerPoint is essential.
• Strong interpersonal and communication skills are crucial for effective collaboration with internal stakeholders, contractors, and vendors.
• Customer-service orientation with a proactive mindset to anticipate and address operational needs efficiently.
