Role Overview:
We are looking for a meticulous and organized Admin Executive to join our team. The candidate will be responsible for providing administrative support to ensure efficient operation of the office. The ideal candidate should be capable of handling multiple tasks in a fast-paced environment, maintaining confidentiality, and working effectively with various stakeholders.

Key Responsibilities:

• Perform general office duties such as answering phones, scheduling meetings, and managing office supplies
• Assist in preparing reports, documents, and presentations
• Handle filing, data entry, and document management (both physical and digital)
• Liaise with vendors, contractors, and external service providers for office needs
• Manage office logistics, including courier services, mail distribution, and reception duties
• Coordinate travel arrangements, including flights, accommodations, and itineraries
• Assist in organizing internal and external company events
• Support the HR department in onboarding new staff, processing timesheets, and tracking leave records
• Ensure compliance with office health and safety standards
• Provide administrative support to different departments as needed

Qualifications:

• Minimum Diploma in Business Administration or related field
• 1-2 years of relevant administrative experience (fresh graduates with internships may also be considered)
• Proficiency in MS Office (Word, Excel, PowerPoint) and office equipment
• Strong organizational and time management skills
• Good communication skills in English (both written and verbal); proficiency in local languages is a plus
• Ability to work independently with minimal supervision and as part of a team
• Singaporean or Permanent Resident (local preference)

Detailed Description:

Performs tasks such as, but not limited to, the following:

• Participates as a member of a customer focus team and acts as an interface between customers and the team.
• Receives, reviews and monitors status of customer orders.
• Works with internal and external customers to identify and resolve issues that may affect the on-time delivery of the product(s).
• Communicates customer requirements and issues in production meetings.
• Researches issues such as material, forecast, EDI transmission, and production problems and coordinates resolution with department managers, process owners or the customer.
• Maintains issues, complaints and corrective action requests for reporting purposes.
• Enters data into database ensuring root cause is reached and issue is closed.
• Troubleshoots return issues.
• Develops, maintains and generates all necessary performance reports and measurements for dissemination to internal staff.
• Tracks and resolves all issues and discrepancies pertaining to the creation of monthly management reports.
• Analyzes issues and problems to determine trends.
• Prepares, analyzes and distributes reports which may include open order status, placements, on time delivery, return metrics inventory and buffer stock status, order turn time, yields, forecasting accuracy, order coverage, shipments and reports for special customer requests.
• Assists more experienced team members in the preparation of new product, qualification and service quotes.
• Tracks project and billing and communicates status to team and customer.

Knowledge/Skills/Competencies:

• Two to Four years relevant experience
• Bachelor's degree in related field, or consideration of an equivalent combination of education and experience.
• Experience in Excel VBA and Power BI highly advantageous
• Educational Requirements may vary by Geography
• Knowledge of the manufacturing process, schedules and scheduling requirements, and logistics.
• Knowledge of the business issues associated with manufacturing.
• Knowledge of customer contracts and terms.
• Excellent customer contact, negotiation and problem resolution skills.
• Good presentation, database management and computer skills.
• Knowledge of computer applications and the ability to accurately perform tasks in some or all of the following applications: Access, Excel, Word and PowerPoint.
• Ability to enter detailed data from source documents into various databases with speed and a high degree of accuracy.
• Ability to manage multiple, detailed projects to a successful end while working under tight time deadlines.
• Ability to communicate effectively, both verbally and in writing, with a wide variety of internal and external customers

Traineeship Description :

This position reports to the General Manager and Director and interfaces with organisation sales team & customer service and marketing team. Marketing Executive oversees marketing for businesses & brands and focus on brand awareness. One of the main goal is to expand and maintain a good customer base, focusing on customer retention, brand awareness and satisfaction. Marketing Executive also develops and implements marketing strategies and advertising. Effective marketing involves staying up to date and knowledgeable about new technology and methods of advertising and must also know their customer demographics and target audience, and they must know how to attend to them and deliver the company’s message in the most effective, efficient way possible.

Role :

1. Marcom Executive is responsible for educating the employees (especially sales team); sales team must be trained on the company policies, company strategies & approach, and how the company product and image should be represented.

2. Marcom Executive must be personable and have a great knowledge of advertising and businesses in this field. Typically, interpersonal & presentation skill is important in this aspect.
