Job Description:
Reception / Meeting rooms
• Check all conference rooms in order including the chairs are arranged properly, TV is off
• Meeting rooms should be kept clean and tidy at all time. Clean off any fingerprints on the table and clear other items besides the phone only
• Top up papers at the photocopier machines
• Received guest and connect them with the appropriate party
• Answer calls & Assisting colleagues for room reservation
Pantry
• Water Dispenser
• Wet pantry should be also kept clean and tidy at all time, include fridge.
• Replenishment of pantry supplies

Local & Overseas Courier services
Receiving documents
Patient Solution (Nurse team)
Update the records : Internal Phone list, Information
Stationary
• Check & Tracking of stocks for stationary every month or if there is a new order. Try to avoid ordering of stationaries regularly unless if needed.
Business card
• Arrange printing of business cards
Documentations
Vendor Invoices / PO System
• Recording & filing of invoices
• Singtel invoices - download all invoices from Singtel portal, save and send to admin staff
• Issue Purchase Order for rental fee of office premises in system
Travel Invoices
• Travel agent will send email upon colleague’s travel ticket issued.
• For unapproved invoices, follow up with admin colleagues (for bosses) and rest of colleagues
Courier Services / Local Service
• Filing & matching of consignment notes
Warranty Cards/Manual Office Equipment
• Keep all the warranty cards (new item purchased) in the folder
Preventive Maintenance
• Arrange the annual renewal of maintenance services for:
1. Pest Control (6 times per year)
2. Sliding glass door (4 times per year)
3. Water dispensers (2 filters set, unlimited UV Lamp)
4. Nespresso (attend to complain half yearly)
5. Fire Extinguishers Licence (renewal in July)
6. Electrical Installation Licence (renewal in Oct & Nov)
• Keep a copy of contract in the file
• Scheduled the aircon servicing, Extension use of air conditioning
Toner Cartridge/Waste Cartridge
• Arrange cartridge/waste cartridge for standby set
1. Copiers at common area – Corporate office & Innovation Center.
Job Requirements: Min GCE O Level / Diploma in any course w min 2-3 yrs of relevant receptionist experience
